:05 Part 2 of "Package POLs" Sara Colglazier
  •  Sara now creates all ongoing orders as package orders
  • AppInt/Package+POLs+Container+records+additional+requirements
  • Add 0359 line in Inventory record to manage different package information.
  • Kristin Martin (UChicago she/her) 12:14 PM
So you use a container PO for all Kanopy titles?
    pardon, package PO
    • Sara: For Kanopy ones, yes, but a little differently.  Some are perpetual access, some are from pda program. Created two pol's, one for each type.
  • Kristin Martin (UChicago she/her) 12:20 PM
So all of your Kanopy titles are paid on the same fund?
    • Sara: Yes
  • Joanna Cerro (she/her) 12:17 PM
Sara - you probably already covered this (maybe in the first session). What's the reasoning behind creating all ongoing orders as "packages" rather than single POL's. Or maybe I'm misunderstanding. Thanks!
  • :24 in recording:  I can do so much more with it when it's set up as a pol. I can add all the other titles I am getting under that order. So many ongoing things morph over time. example recently had a print subscription that now occasionally send out a mono title.  If the original title had been set up as a package, could just add that occasional title to the po. I have found no drawback to doing it. Only benefits.
  • Kimberly: Package titles are not searchable in orders, only in receiving.  The connection is happening in receiving.
  • Kristin Martin (UChicago she/her) 12:26 PM
FYI, Joanna, for streaming, we use individual POs for each Kanopy title, and bring them together as an agreement.
  • Kristin Martin (UChicago she/her) 12:37 PM
So, you add the administrative note with the POL when you load the records?
    • Sara: Yes - for certain approval plans. Not all of them.
  • Joanna Cerro (she/her) 12:41 PM
If you're creating a package PO with only one title for a single subscription, what do you add for the the "Package name"? I see that it's a free text field that isn't connected to a particular instance record.
    • Sara: The package pol, as soon as you open it, it locks out any changes to the pol title.
    • Martina Schildt | VZG 12:43 PM
      +1 to Sara
it would be good to be able to track changes in a Change log
  • Kimberly Pamplin 12:44 PM
An alias name field might also be nice. Sometimes invoices come with a different name than the actual resource.
