Implementers topic: POL/inventory matching
Dennis
From last time, we agree the matching is not perfect,
We are now using product ID and type, and this has made improved it.
Time better spent now on making the matching more accurate.
There is the ability to turn off this function.
We are adding the ability to edit the connection so it it does match incorrectly you can fix it.
We should be capturing the specific use cases where the matching failed. Please let me know when you find one.
Sara C: Can you please explain again exactly how it works
What happens when it doesn't find a match?
Dennis: Recap of Sara's comments - What if folio creates a stub record rather than matching on something?
Ann-Marie: Can't delete instance records yet. It's very common that you start with stub records, even if it didn't have a product identifier. As long as the instance, the holdings, and the item are linked to the po line, then if you update later with fuller information, you will have the po line number linked to each level. If the pol has a vendor reference no. even though you don't see it in the instance, we are working on making it a matching point for the related instance so you can update it.
Most you can do with instance right now is suppress from staff discovery and the discovery level.
From Dung-Lan Chen to Everyone 08:19 AM You can also overlay the unwanted instance with an instance you need or intend to import.
From Lisa Smith to Everyone 08:21 AM Does 'automatic' matching happen when we use 'title lookup', or only when we don't in the Orders App?
From Ann-Marie Breaux to Everyone 08:22 AM Yes - if you do lookup it's matched based on the instance you chose
From Lisa Smith to Everyone 08:23 AM Since we aren't yet cataloging in FOLIO, I'm not entirely sure how messy our instances are!
From Dung-Lan Chen to Everyone 08:28 AM You can relink the POL to the instance you want it to link to by opening the PO/POL and doing a title look up and link to the correct holdings and proper create instance setting to get it relinked.
:30 Demo of how Gobi and Folio interact
From Lisa Smith to Everyone 08:32 AM Dung-Lun, do you mean 'unopening' the PO/POL? That's what we have been doing when we catch mismatches. We are creating instances only, so we haven't yet needed to think about items/holdings.
From Dung-Lan Chen to Everyone 08:32 AM Yes, unopen the PO :)
From Lisa Smith to Everyone 08:48 AM Regarding approvals, it would be SO NICE to receive everything on the PO all at once, instead of one at a time.
From Ann-Marie Breaux to Everyone 08:50 AM Lisa - I think there is a feature to do a "receive all" based on the invoice. I'll hunt for it. Draft feature - not very detailed yet - being able to receive all items on an invoice at the point the invoice is approved:
