  • Implementers Topic # 126 Invoices: rounding

  • We use prorated adjustments to apply tax to invoices. FOLIO uses banker's rounding (rounding to the nearest even) but our university does not. We round up for values of half a penny and above and round down for values below half a penny. We should be able to change or choose the way FOLIO handles rounding.

  • Note is" Dennis Bridges to create a feature for exposing a setting in the settings area that allows a user to change the rounding behavior of acquisitions applications from Banker's rounding to rounding to round up for values of half a penny and above and round down for values below half a penny."

  • display item and adjustment amounts for  multi-funded invoice lines with adjustments

  • When there are multiple funds split by percentage on an invoice line with an adjustment, is it possible to show the item and adjustment amounts listed for each fund both in the UI and in the json returned by okapi? For the example below, it would show:
    MUSIC: item amount $48.75 + adjustment amount $4.45 = fund total $53.20
    MUSICSCO: item amount $16.25 + adjustment amount $1.48 = fund total $17.73

  • Dennis: Does accounting need the invoice line amount, or really only need the VAT amount since it’s from a different fund?

    • Suzette: Not sure. They are submitting the prices per invoice line. Doesn’t include titles or anything, just the expense codes, item price, and the tax price.

  • Dennis: Are there any other use cases from other libraries to support displaying the value of each adjustment?

      We have an integration with Oracle but campus does not require that we replicate the invoice detail, just the summary details.

  • Invoices: display item and adjustment amounts in system currency for invoices in foreign currencies

  • For invoices in foreign currencies, is it possible to also show the item and adjustment amounts converted to the system currency both in the UI and in the json returned by okapi? For the example below, it would also show in USD:
    JAPANHV: item amount $13.95 + adjustment amount $1.40 = fund total $15.35

  • Dennis has added use case information to the page for the two stories in no.127 and 128. Top priority is the rounding problem. Once we implement the rounding solution, then we can look at the other issues if they are still a problem.

    Move holding/item data in Inventory should update POL-Instance connection accordingly

  • Move of holdings/items from one instance to another won't transfer the POL information from the origin to the target instance.

  • Dennis: Might be some alignment between this and work being done for the consortium support .

  • Trigger email to requester on receipt

  • In my role as the Acquisition Librarian at NUST Library, I have identified the need to integrate the requester's email address on the order or receiving side for efficient communication regarding requested items. Enclosed are screenshots illustrating the opportunity to include the requester's email address. This enhancement would streamline the process of notifying requestors about the status of their requests with a simple click. An automated email will be dispatched stating: "The Library has received the item/book you requested, and it is currently being processed." For further inquiries, please reach out to..

  • Kristin Martin: Wonder if this is a case for the workflow sig? Different libraries may want different options.

  • Kimberly Smith: We have a system where a notification gets put out when a requested item comes in, but thinks it’s part of the circulation app.

  • Drop-down selection for ledger fiscal year

  • In the Finance App, on a Group record it is possible to select the fiscal year from a drop-down and select previous fiscal years to display information. Ledgers do not have the same dropdown option, which makes it inconsistent. We do have the ability to export ledgers, so the information is obtainable, but users must know to go through Actions > Export Budget Information and only upon clicking through will see the fiscal year option. Given that the information is available, this isn't as major of an issue, but it can make things confusing. 

  • Dennis: We had originally envisioned that, need to look for story. There’s also a feature about a browse functionality for the finance application that Dennis think the Alabama library is working on. In Browse you would select the fiscal year first, then you would see the entire fund structure.

  • Dennis discussed potentially doing usability testing for what libraries want.

    • Lisa Smith - Health science librarian gets statistics/information from us for an organization every year. All our funds on one ledger. We export everything, then filtered by fund.

    • Dennis: Do you want to view, or export all the data, for the past fiscal year.

      • Okay, Exporting would be great. But for now being able to easily view would be ok.
