Notes

Notes taken by Joshua Lambert

Demonstration by Brian Arrigo from Simmons University.

  • Permissions for Circulation set up (Covered 2/20)
  • Patron Groups (Covered 2/20)
  • Locations (Covered 2/20)
  • Loan Types
    • Found at: Settings > Inventory > Items > Loan Types
    • Simmons is using only one standard loan type. Missouri State University (MSU) will probably use two.
    • Demonstration of creating loan types.
    • What does the temporary loan type do?
      • Allows functionality such as reserves. This field may be changed when adding an item to a course in the Course App.
      • Simmons uses temporary location rather than temporary loan type for reserves.
  • Material types
    • Found at: Settings > Inventory > Material types
    • Brian demonstrated the material types for Simmons.
    • Simmons uses around 20 types. Chalmers only uses one.
    • Is it necessary to create material types for things with the same circulation policy?
      • No. Some libraries just use the same material type for all kinds of things with the same loan rules.
      • You could use material type to separate statistics. Then again there are tags and statistical codes and other ways of doing that too.
    • Simmons is using location and patron group to make circulation rules rather than material type.
  • Overdue Fine Policies
    • Settings > Circulation > Overdue fine policies

    • Circulation rules must have a fine policy but it can specify an amount of zero.

    • Brian demonstrated how to create an Overdue fine policy.

    • It is important to keep naming consistent.

    • The grace period is set in the Loan Policy section of settings, not in the Overdue fine policy section.

    • Can you have a loan measured in days while a fine is measured in hours?

      • Yes. Simply attach that rule to the loan policy.

  • Lost item fee policies
    • Settings > Circulation > Lost item fee policies
    • There is a bug that makes saving a lost item fee policy not work.

      • Snapshot seems to have it working.

    • Brian demonstrated how to create one.

    • One of the editable fields is "Aged to lost after overdue." What does that mean?

      • FOLIO changes the status to "Aged to lost after overdue" a certain number of days after it is overdue. It is the automatic method of marking an item as lost.

      • May be tied to a patron block but does not have to be.

  • Request Policies
    • Settings > Circulation > Request policies
    • Set these to determine if a book can be held, paged, or recalled.

    • Simmons has 5 policies: Allow All, Hold only, Holds plus page, None, Page only.

  • Request cancellation reasons
    • Settings > Circulation > Request cancellation reasons
    • Simmons uses the following cancellation reasons: Item Not Available, Needed for Course Reserves, Other, Patron Cancelled.

    • MSU has similar cancellation reasons.

    • This can be sent to patrons who request something but then have to be told the item is not available.

    • It works like a controlled vocabulary.

    • Cheryl says FOLIO is currently hard coded in such a way that you cannot request a missing item. There are plans to change this in the future.

  • Patron notice policies
    • Settings > Circulation > Patron notice policies
    • These specify which notices go to which patrons and when.

    • When you create a patron policy, you have to specify a template.

    • Patron notice templates must be created before the Patron notice policies.

  • Patron notice templates
    • Settings > Circulation > Patron notice policies
  • Fixed due date schedules (not discussed on 2/27/2020)
  • Staff slips (not discussed on 2/27/2020)
  • Loan policies (not discussed on 2/27/2020)
