Demo Reports / TAMU

Ann presents Voyager MIS Reports.

  • Frontend is written in PHP, Backend is stored SQL procedures + Perl scripts.

  • Ann presents Accounts and Funds Setup.

  • Account Detail Reports are printed every week, mainly used by managers and business office.

  • Acquisitions reports are mainly used by Acquisitions staff.

  • Cataloging reports are used across the departments. They are used for Inventory and the reports might be massive, e.g. Shelf list by location (location names and location code), inventory reports, used for weeding, statistics (able to se date range). Possible to view online / down load (and import in Excel) / Rename Report. Reports are mostly downloaded, not viewed online. Also New Books shelf list - will be on display 30 days, and then the new books are re-shelved into the collection. There are 4-5 Mio. barcoded items in the catalog.

  • Uncataloged Electronic Journals: Perl compares SFX and Catalog Data and puts (uncataloged items) in a list. Uses Selective View Option, e.g. to move to the Acquisition view.

Rachel Sneed presents Serials Acquisition.

  • EBSCO Annual Move: 3,000 titles are moved from EBSCO. Workload was reduced from 10-15 colleagues involved to now 6 colleagues using Access, completing the work within 3 month.

  • In Frontend, one box pulls EBSCO data, one box pulls Voyager data. If the data doesn't match, data will return in red. Titles are pulled from EBSCO which makes invoicing a lot easier.

  • Packagebib covers both online and printed journals, and then each title has a titlebib record.

Discussion

Charlotte suggests to put screendumps of today's presentations in the Google docs folder 'Workflow'.

Michael: Libraries have many systems. We need to have demonstrations of other systems that integrate data.

Planning for next sessioin
