ECS – Update Ownership Action for Inventory Holdings and Items

As of Ramsons release, ECS-enabled environments will now feature an ‘Update Ownership’ action for Holdings & Items. This action allows users to change the ownership of Holdings & Items from one affiliation (tenant) to another. This page will document action usage, permission requirements, and other details.

Preconditions

  • FOLIO users will need the following permission in order to access the ‘Update Ownership’ action for Holdings & Items: Inventory: Update ownership

  • The ‘Update Ownership’ action is only available for Holdings & Items linked to Shared Instances.

Update Ownership: Holdings

Steps:

  1. User must be at Holdings detail page in Inventory to access ‘Update Ownership’ action, which will appear in dropdown of the Actions menu at the top right of the screen

  2. After clicking the ‘Update Ownership’ action, the pop-up modal will appear where the user can choose an Affiliation (tenant) and Location where they would like to move the Holdings to

  3. Upon choosing a Location, the user will be presented with a Confirmation modal

     

  4. After clicking ‘Confirm’, user will be returned to Instance view on Inventory and a success message will show at the bottom right of the screen

Notes:

  • Any linked Items will be moved as well when a Holdings ownership is updated

  • Affiliation options are dependent on which tenants a user is affiliated with

 

Update Ownership: Items

Steps:

  1. User must be at Item detail page in Inventory to access ‘Update Ownership’ action, which will appear in dropdown of the Actions menu at the top right of the screen

     

  2. After clicking the ‘Update Ownership’ action, a pop-up modal will appear where the user can choose an Affiliation (tenant) and Holdings where they would like to move the Item to

    • If no Holdings for a given Shared Instance are presently available on the desired Affiliation, then user will have an opportunity to create a new one by clicking ‘Create new holdings for location’

  3. Upon choosing Affiliation & Holdings selections and clicking ‘Update’, the user will be presented with a Confirmation modal

     

  4. After clicking ‘Confirm’, user will be returned to Instance view on Inventory and a success message will show at the bottom right of the screen
