Minutes

  • search needs in Agreements
  • 5C - searching for subsets of agreements for relevant school - would like to be able to find a set of agreements with a specific search term only for own school - using the abbreviations
  • 5C uses naming conventions
  • Felix in chat: Do you use supp. properties with ref values for each 5C institution? You could apply this filter for each of your searches
  • 5c does not; ; answer by Jack in chat: I use a tag of umagreement to group mine together, but for someone just coming into agreements (like a teaching librarian or ILL staff) they may not know how to work the supp. property filters; The tag & supp. prop also add a step to search if I have to filter down by some method to just show UMass agreements and then execute a search
  • would like to be able to see each others data because they do not want to drift apart too much; but at the same time would like to filter down
  • Felix in chat: A long time ago I had the wish to be able to save  agreements and licenses term filters from the term builder and apply it with one click. So maybe if the software is enhanced you'd get a way to handle your situation.
  • Jessica in chat: I think that would be great if we could save searches/filters and apply them in one click
  • Sara: consistency across apps is desirable
  • Sara wishes to have acq units in ERM as well due to consistency
  • Owen: everything we do across apps is agreed by convention; there are a lot of things that vary across apps
  • acq units exist in ACQ; there are implications deciding for ERM to implement those
  • consistency with one app menas inconsistency with another at the moment
  • is a topic for App Interaction SIG as well Martina Schildt
  • Jack in chat: I would want it to behave similar to the other filters (like status) wherever that lands in this conversation
  • if wanting to filter for closed or trial agreements it would be easier to have no filters preselected at all
  • Felix in chat: You can reset all filters with 1 click ATM; So it's 2 clicks to see just the closed ones
  • Owen: would it be helpful to have closed more explicit?
  • Jack: no problem with the filters so far
  • Jessica in chat: For Chicago, it would be rare to want to view closed agreements
  • Sara: this all goes back to "we are all relatively new to FOLIO"; a lot of active records; this will change over time
  • intuitiveness needed for users not familar with a specific app - because they only need to view, but nevertheless need to be able t search and find records
  • Sara: either everything shows or nothing as a default
  • Kristin: Inventory has a suppress from discovery and suppress from staff
    • suppress from staff: records will not appear on searches
    • double suppression like in Inventory could be something to think about
  • Owen: there are already fields to mark from discovery; not suppress from staff yet
  • Owen will have discussions with other POs; have a discussion in App Interaction
  • another use case: looking at agreements that have a specific AGL
  • Jessica in chat: Searching AGL descriptions would be incredibly useful
  • +1 from Jack
  • Owen: this is something that we need to do
  • use case: being able to find agreements by suppl. documents - learning about the use case  behind this requirement would be helpful
    • Sara: if you have a lot of agreements this is one mechanism to filter down: e.g. where library has additionally bought the backfile (and having uploaded the invoice of the backfile)
    • can save that as a category
  • similar use case: find agreements that have related agreements
  • use case: combine fikters for "is package" and "content type"
  • Owen: please add more use cases to the document if you have some
    • try to describe what you are trying to do or trying to achieve

I use a tag of umagreement to group mine together, but for someone just coming into agreements (like a teaching librarian or ILL staff) they may not know how to work the supp. property filters

The tag & supp. prop also add a step to search if I have to filter down by some method to just show UMass agreements and then execute a search
