Agenda items

  1. Development progress - ERM sprint 150
  2. Feedback on e-resource search options (local KB only): https://docs.google.com/document/d/16u3RkXSbUyqbvPqqJX1Kwv7O8uV-faF-1LO7Jrdt_UU/edit#heading=h.fyru4d92h4zq
  3. Checklist functionality developed in the Open Access request management
    1. Would similar functionality be useful for ERM and if so would it need to have any changes/additions to be effective?

Minutes

Development progress - ERM sprint 150

  • Last sprint before feature freeze for Nolana
  • focus is to make sure that everything is finished of that has been developed for Nolana so far
  • work is mainly around
    • dashboard sharing work and
    • changes to GOKb harvesting and
    • agreement line searching

Feedback on e-resource search options (local KB only)

  • The group is in favour of having separate panes/tabs for packages and titles
  • rule for multiple selections in a single filter: combine selections as "OR"
  • applies to check-box selection and multi-select selection such as for tags
  • there are some single select filters such as the organizations filter
  • the group agrees on keeping selections as they are at the moment
  • Jack in chat: I can see wanting to combine my subscription agent org. and a content provider org. but that could be a report instead of a feature request
  • difference between
    • type: type on publications on the title - everything that came in was sorted as monograph or serial from the beginning | KBART view | very simplistic
    • publication type: can be richer | no controlled vocabulary | external sources can include whatever publication type they want | cannot be predicted | but internally publications need to be sorted as monograph or serial (to know whether e.g. we have an ISBN or ISSN)
    • Content type: conten type of the package | no controled vocabulary | take any label from external sources
  • there may be some overlap
  • we might think about the labels and improve labelling

Checklist functionality developed in the Open Access request management

  • Requirements:
    • ensure that all work is completed
    • workflows and requirements vary across institutions
    • not all things require the same work to be done
    • work does not necessarily happen in the same order
    • Ability to record notes is important
  • Implementation:
    • no pre-defined lists
    • every request has own checklist
    • items can be hidden where they do not apply
    • possible outcomes:
      • not set (default)
      • yes
      • no
      • other
    • each checklist item can have multiple notes | most recently updated one always displaying in checklist
    • currently implementing options to filter on status of checklist items
  • Checklist items can be managed in settings area of individual app (so far OA)
  • Checklist items have a label, name (system generated), description, weight, actions (edit, delete)
  • Ideas for further development
    • would be nice if some items could automatically update
  • Julie in chat: Exciting to see this and wishing we could use it in other apps 🙂 | Jack agrees
  • Jack mentions the To Do App | does not know whether it still exists | Jack sees a lot more promise out of this presented checklist functionality (OA)
  • Questions for ERM
    • would similar checklist functionality be useful in Agreements and/or Licenses?
    • What differences would you see for their use in ERM?
      • Jack: it would be good to be able to reset the status of a checklist | when starting new for the next year | annual checklists
      • Martina S.: do we need checklists that cross apps Agreements and Licenses?
        • User creates an agreements |sets item on checklist to create LIcense
        • if license is created in LIcenses app and it can be checked of there
      • reactions in chat:

Von Zorian Sasyk (he/him) an alle 02:52 PM
It would be nice to do the thing Jack just said with a bulk update option in Agreements too

Von Robert Heaton an alle 02:53 PM
Can sets of checklist items be applied at once? E.g., a monographs processing checklist vs. a serials checklist.

Von Sabrina Bayer an alle 02:53 PM
Our ERM-Group think, that this checklist functionality would be very useful in Agreements and Licenses. We would love to see this functionality there.

Von Jack Mulvaney an alle 02:53 PM
different checklists based on staffing, role, etc.

Von Zorian Sasyk (he/him) an alle 02:54 PM
^^yes! Making sure this worked for shared tenants/consortia setups

Von Robert Heaton an alle 02:54 PM
Any possibility of assigning tasks by role? Of sending notifications?

Von Jack Mulvaney an alle 02:59 PM
Pay the invoice, check the proxy server, update URLs, etc. - year over year proactive maintenance

Von Sabrina Bayer an alle 02:59 PM
Would it be possible to have a checklist per Agreement line (not only on Agreement Level)? This would be very useful, e.g. for every new purchased single ebook its own checklist.

Von Jack Mulvaney an alle 03:01 PM
Yes
The alterative to a notification could be the dashboards being able to key in on checklists

    • Any other questions?
  • Will come back to this in a future meeting
  • will try to walk the line between functioanlity and simplicity

GBV implementers gave feedback on the new navigation, they really liked it

^^ This would be helpful - especially in a shared tenant, Mount Holyoke and UMass would have different checklists based on staffing, role, etc.
