Communications Strategies Working Group

Updates

  • Based on the Community Council Calendar we decided to focus on updating the website to support the upcoming Membership Drive.
  • Reviewed website and are proposing an updated structure - see this document
    • new structure is outlined - done by Rachel and Mike
    • comments / questions?
      • Rachel announces some resources to help with the work in January 2022
      • Mike is volunteering and asking for more participants, e.g. Jesse/Roadmap Group, ...
    • present new structure to PC as well
    • Who is presented on the website?
      • listed live institutions, FOLIO members are reviewed, vendors need to be reviewed as well - we need to find a process here
      • idea: list service providers with a description of their services and their regional and language support - link the pages
  • Also identified some writers for certain pages
  • Rachel Fadlon is looking to reserve time with the Web team at EBSCO that has maintained the website.
  • Also identifying the best way/place to collect new copy for the website


Membership drive

We need a membership drive to kick off in early 2022. What steps do we need to take to get this underway, and who will volunteer to drive this?

  • Request for volunteers for this group: Boaz (lead), Harry, Paula, Dracine
  • Paula: please consider the real costs of FOLIO - right now, our budget is healthy, because we just pay the absolute basic costs - it is not enough to pay for any other resources we might want to hire
  • Action item: find more volunteers - in PC, in SIG's
  • Dracine: define process and take action to recruit PO's, conveners, developers and any other resources we need
  • Paula: consider ongoing implementation processes, that pulls resources back into institutions with no option to hire new people to contribute to FOLIO
  • Alternative: shall the whole CC be part in this process as "working group"?
    • e.g. "people power campain"
  • Action item: reserve a window of time in each meeting to let the whole CC participate - small group for prep and follow up work!
Agenda Planning Group

In discussions with FOLIO Officials we wondered if it made sense to create an "Agenda Planning Group" for Community Council. The Product Council has this... the Tech Council just decided it wasn't necessary. We could use the off week to get together to plan the agenda if there was interest.

  • PC: small group to help define the agenda in advance 
  • TC: is preparing the next agenda in the last minutes of the recent meeting
  • Marko: TC has some different tasks and their agenda is driven from outside approaches
  • CC needs to find their topics often itself - we are not so often approached
  • Maike: create open agenda - fill in topics during the week 
  • ASZ: mixed approach - do some pre-planning in the meeting and do some prep. meetings in the small group
  • Rachel (chat): In the Community Outreach SIG, I create a Google doc agenda for each meeting, with running updates and action items. I send it out a few days before the meeting and ask SIG members to add any updates and other items to discuss and it works really well.
  • Result:
    • Collect agenda topics at end of every meeting
    • Produce agenda - open to entries - after each meeting 
    • Have a small group meeting every other week to do the necessary pre-work  - one week ahead
Internal Meeting January 10, 2022

I would like to propose an Internal meeting (CC Members only) on January 10th to go through the following agenda:

  • Fiscal budgeting details and status, including AWS costs and staffing costs/projections
  • CC 6 Month Retrospective
    • How have we done?
    • Are all members engaged?
    • How should we modify our operation?
  • Result
    • Agreed. Focus on budget / staff
    • Start retrospective but continue in the open as well
    • CC only meeting: January 10, 2022

    • Meeting is already planned for January 14 - would need to be prepared at January 10 CC meeting!
