- EDS: In case of prepayment, want to see how many articles or money left
- MB: There are vouchers as well
- OS: prepayment situation with publisher and/or consortium?
- EDS: publisher for sure, consortium not sure
- OS: report about availability from publisher?
- EDS: normaly via email or dashboard
- AO: only at the end of the year with invoice information whether there is anything left, no overview during the year some times, need to keep track by themselves
- OS: number of vouchers can vary?
- EDS: yes, vary; one voucher = one publication
- OS: vouchers part of contract or consortia?

Springer and received the following information: "Regarding the tokens, he said that there will be a common pool of tokens from all participating institutions. Institutions with Tier 2-5 will be able to publish all their publications OA without having to pay additional costs, even if the tokens should be used up. Institutions with Tier 1 should, if the tokens should be depleted, publish the articles then still awaiting publication behind the paywall, i.e. not OA, if they do not want to pay the APC for the articles.

- OS: vouchers always connected with one publisher? or are there vouchers across many publisher?
- EDS: 1:1 so far
- OS: specific voucher numbers?
- MB: no specific voucher numbers
- PMC: vouchers with exp date
- OS: availabilty of third party funds?
- PMC: small fund that the library provides; most used in first month of the year
- EDS: univ. offers money to the institutes; this would be third party fund; also if research fund itself contains publication
- EDS: always looking for other funding streams, if not, then via library/publication fund
- EDS: but we record request even if we do not pay
- MB: cost sharing; sometimes authors have some money; paying complete invoice but invoice the author subsequently
- OS: Q re: statement some institutions do not fund publ in hybrid journals
- OS: checking whether journal is listed in a directory, is there a different in checking to other things to check?
- MB: hybrid only if it's part of a transformative agreement
- MB: Gold OA fund and transformative agreement
- EDS and OA: it depends on the contract; if contract includes hybrid journals, then it will be paid
- OS: relationship between author and department; experience shows that this is quite flexible
- OS: books, no focus at the moment
- OS: DFG specific?!
- AO: what we need to know/check/record is from what project comes this publication? FactScience/RIS contains information about whether research is funded by DFG; or ask authors or check publication metadata
- OS: The main question is: Who funded the research that the publication is about/from → then decision
- OS: are the authors specify a specific journal they want to publish in?
- EDS: it depends, sometimes they ask or wish to have a specific publisher, sometimes journal
- OS: article types: do we have a more broad classification or deeper one? number of types
- MB: a more large number, e.g. Wiley 100+ lines; MB will provide OS Wiley example
- AO and EDS: special prices depending on article type
- Colour and page fees payed and tracked, excluded?
- CL: do not fund but pay and invoice / pass on to the author
- PMC: not heard of any limitations, but have to investigate
- OS: any other things that need to be tracked that are not part of pre-decision process? Have to check afterwards?
- AO: funding statement of research itself and publication OA funding have to be checked
- OS: do you have at the moment a method of checking this?
- AO: yes, publication text and publ metadata; just track "that" it was checked and found/or not
- OS: complain if not complient; communication with publisher; is that something you want to track over time?
- EDS: example of wrong or no OA licence, ask to change the license, but if publisher don't want, no further asking
- can be a long period of communication
- OS: is there anything we missed regarding this subject, missed to asked etc.?
