Agenda items

  • Further discussion of Bavarian gap log

Minutes

  • @Christina Prell guides the group through a Gaplog created by Bavarian libraries, prioritization has reduced the list two 3 crucial gaps (must-haves):

  1. Search for invoice number

  • user scenario 1 -> search for invoice number directly in Open Access app

  • user scenario 2 -> search for invoice number in invoice app, then follow link to related request

  • both scenarios should be possible

  • @Owen Stephens shows search options for order lines in Serials app as an example -> pop up with full search interface that allows for richer searches

  • the alternative is a simple search for invoice number which shows every request related to this invoice number → this would be fine for most participants (@Bernd Oberknapp seconds this view)

  • @Owen Stephens will examine the best (effective and most cost-efficient) search option for the OA app

  • @Christina Prell: sa working solution for user scenario 1 would render scenario 2 less urgent -> this would involve cooperation with Invoice App/ Product Owner: Dennis Bridges -> Dennis should be invited to a future meeting to discuss the need, @Owen Stephens will ask @Björn Muschall to arrange for a further meeting with Dennis in one of the next SIG meetings

  1. Change of prices in Invoice/Finance App after approval of invoice

  • basic problem: invoices only trigger reportable finance transactions when set to status “approved” but then those invoices can no longer be edited in a comprehensive way, e.g. change of splitting between budgets

  • @Owen Stephens recalls demonstration of University of Chicago that deal with corrections automatically – this could be a temporary workaround

  • idea to include intermediary status in Invoice App which allows for changes of amounts and splitting of amounts between funds after approval of an invoice → has been raised via D-Erwerbung SIG, status unclear

  • topic will be part of the agenda for the envisaged meeting with Dennis Bridges

  • Cornelia Lang mentions another old request: Splitting of amounts between payers in system currency as opposed to original invoice currency → @Owen Stephens will examine the possibilities with the developers

  1. Reporting of comprehensive Request data

  • mainly concerns data from OA app + 3 data point from Invoice App: invoice number, invoice date and vendor

  • @Owen Stephens will have a look at this, as well
