Homework
On the ERM implementers topics wiki page there is a request to enhance the Supplementary Properties in Agreements. Agreement Supplementary Properties use the same underlying approach as the license Terms, so we can consider enhancements to the Supplementary Properties / Terms together (and if they need to work differently, we need to highlight where they should diverge).
Potential enhancements for the properties/terms include:
- Ability to have multi-value pick lists for a single property/term
- Ability to assign multiple values (with associated notes) to a property/term
- The ability to use the same property/term multiple times on a single agreement/license
- Support for property/term types for recording dates
- Enhanced editor functions similar to the Notes Helper app (specifically hyperlinking)

- Development progress - ERM sprint 112 planning
- Working on Dashboard and it will be soon available on environments
- Other work – few bugs from bugfest – no major bugs – some regarding permissions and display
Tags – issue with over 100 tags – in bugfest 260 tags – plan increasing to 1000 tags for Iris
- Change how it works would be better – avoiding a hard limit
- How many tags do you use in the system? Total number of tags - right now up to 50 tags

Display of searching the internal KB – resources can join and leave packages
- Even after the resources left the package – it is still displayed
- What is PCI? (package content item) title is in a package – we are not using the term PCI in the UI of FOLIO, but in the underlying software
(Current / future / dropped / all) or something similar - Filter like this to the list of "options for acquiring e-resource"
- You might still want to add it to an agreement for documentation purpose, you don’t want to hide it completely, but you could filter
- 38. Agreements/Licenses: Allow sort options for documents
- We have discussed it before – sort options for documents – we currently don’t have a default sort for documents
Most of the time the order is in which they are attached, but it is not given
- In No 38 asked for sort options –e.g. alphabetical (document name), date added, document category
Revisit ERM-214 Sort order of supplementary documents on licenses - We didn’t come to a conclusion how they should sort / maybe technical issues
Sara: it is a problem – careful about naming the document hoping they would sort - randomly they are displayed – Agreement lines are sorting randomly as well
Agreement line is another layer of complexity – because with Agreement lines you do not see all of the lines at once on screen – from technical perspective - first sort and then display
With Documents – display and then sort
Sara: it should be predictable - knowing some sort of order to browse them and find things quickly -
Just added new agreement line through add agreement line button (not eholdings) – first find it to add other data - frequently but not always the last added are at the top - It is inconsistent in which order it isJack: not ERM thing – in other parts of FOLIO sorting is lacking – in organizations contact sort alphabetically / interfaces do not - Maybe talk about it more broadly
Alphabetically would be good for many sort orders, but e.g. Note helper app – would be good to sort by date- Gill: No exiting UX guidelines / I don’t think there are apps who sort embedded tables MCLs

- Sara: Different “display” in detailed view (more condense) and edit mode (here in a different place), Sort in edit mode as well – should be the same order in detailed view and edit mode
- Any existing mechanism for filtering this list of cards (supplementary documents)?Gill didn't see any
- Gill: in edit screen – drag it around – not a sort, but manual reordering?
Jack: default – I don’t need to set the order – alphabetically by name is enough
- Other aspect – you looking it in view – “doc one” is in wrong location – would like to edit it – need to find it in edit mode - Whether having an edit button in a card to open up the edit screen at this card you would like to change
Sara: need a systematic way to browse a list / it is not only about editing
- picklists- What makes sense in terms of sorting? - most common value to be at the top of the picklist
- two aspects:
- focus on sort consistently – in consistency order
- navigate from view and edit - not higher priority than 1
- will be discussed in App Interaction
- What would be the best sort order can be diffrent - documents by name, amendments by date
- Owen to do a full review of places where we show sortable things and to do a matrix what we would like to sort

The list of agreements by those that have or have not supplementary documents makes sense

We have a handful of tags, but we're afraid to use them because you can't delete them.

Chalmers have about 45. We feel limitied to use them as they can't be deleted

At Duke we are using only one tag value and it's attached to only 45 records. We're using them only in Licenses.

Yeah I think this is why for me, as long as they sorted in a predictable way in view & edit (hopefully alphabetically) I would be happy. Going further than that I think would end up being more cumbersome if you aren't using FOLIO in a way where you have many documents attached

to expand on Jack's comment about predictable sort (e.g. alphabetical), it would be great if this applied to pickling values as well. I'm not in front of a computer but I believe pick list values sort alphabetically in settings but appear to be random when applying in a record.
I think it's a separate but related issue

in Licenses -> Agreements linked to this license, the agreements also don’t appear in any obvious order, tho I haven’t found one in our instance that has more than four linked agreements, so finding the right one is not a huge issue. I dunno how many agreements may eventually be linked to a license in other instances or over time
