Meeting notes:

The RA Reading room working group will start out meeting bi-weekly. Next meeting will be in August due to ALA. Later we might want to shift to weekly meetings to pick up the pace of the requirement work.

@Andreas Mace mentioned that there will be a session on Reading room at WOLFcon 2024.

Prioritization of UXPROD-1835:

  • @David Bottorff uChicago will be interested, but the chosen solution will have an impact on whether it has high priority for uChicago

  • @Uschi Klute reading room functionality is required by the German libraries. The functionality is very similar to the functionality by National Library of Sweden (NLS) with regular Reading room, and also special very rare material reading room.

  • @Andreas Mace this new work has a very high priority for National Library of Sweden. This functionality is a road blocker for going live in 2025. Currently the reading room functionality are two different processes, but NLS will try to consolidate. A tender is planned to be sent out soon.

Development effort:

  • Previous talks have been touching on whether to do a special app for Reading room functionality, or integrate the functionality in the current Request app.

  • @Anja Kakau seconded Thomas Trutt on that Request app would be one path to go

  • @Charlotte Whitt mentioned that new item statuses might be needed here. @Uschi Klute suggested maybe having: available for patrons in reading room, checked out for patrons in reading room

  • @Anja Kakau suggests a loans status field indicating that the loan is Open, also when checked in at the Reading room service desk, but the loan is still open, while the patron will be check out again the item the following day. The loan will first be closed when the item is checked in, and the patron do not need this item again.

Requirements:

  • Important that the solution is aligned with the statistical needs, and how these are recorded

  • @Andreas Mace explained that in NLS’s current system, the item is in the state as ‘checked out’. The key point is that there is a need to minimize the amount of task the staff needs to do. For NLS the typical loan is 7 days loan period (correction: 30 days but is expired if not used for 7 days) . NLS has done some test in a FOLIO test system

  • @Anja Kakau asked if the 7 days loan periode could be extended by renewal. @Kajsa Bäckius explained that the material is reserved for 30 days, but the patron would need to check out the item at least every 7th day. If the item is not picked up after the first 7 day, then the item is returned to the closed collection

  • @Niels Erik Nielsen pointed out that what Kajsa described can be solved by using the build in FOLIO timers. The current app should be extensible to support this

  • @Uschi Klute @Thomas Trutt - all the different patron notices, should also be handled to support the work flow for reading room. This can be done

Decisions:

  1. Write up a sub page on wiki defining Glossary of terms for the Reading room functionality
  2. Home work: Write up work flow being requested by each of the institution participating in this working group. Send your input to @Thomas Trutt
