Overview
The Working Group Discussion Meeting focused on enhancing the request form and main page for Reading Room Circulation Requests, with key agreements to add a checkbox for such requests and implement a Yes/No filter on the main page. Participants discussed integrating Reading Room Circulation Request details into the request details pane and agreed on a layout for this information. The meeting also addressed the circulation log, particularly how to capture request closures and manage statistics related to multiple check-outs associated with a single request. Furthermore, members deliberated on reporting and data analysis, deciding to investigate how to differentiate between loan types in future statistical reports.
Notes
📊 Request Form and Main Page Layout (00:43 - 19:41)
Discussion on adding a 'Reading Room Circulation Request' checkbox to the request form
Discussion on placement and default state of the checkbox
The checkbox for reading room circulation requests should be placed after the request type selection to ensure clarity in user interaction.
There is a discussion on whether the checkbox should be shown by default or require users to activate it, impacting user experience and workflow efficiency.
User feedback during testing will be crucial to determine the optimal placement and default state of the checkbox for different library workflows.

📝 Circulation Log and Reporting Needs (29:51 - 54:29)
Discussion on capturing request closure in the circulation log
Consideration of how multiple check-outs for a single request should be recorded
Discussion on potential complications for statistics due to multiple charges for one item under one request
The discussion highlights concerns about how multiple charges for a single item under one request could skew statistical data.
Participants emphasize the need to differentiate between actual usage and the number of loans recorded, as this could misrepresent the frequency of item circulation.
The conversation suggests exploring options for reporting that could aggregate usage data while maintaining clarity on individual requests and their outcomes.
🔍 Reporting and Data Analysis (54:30 - 01:03:32)
Discussion on how to handle multiple loans tied to a single request for statistical purposes
Consideration of using loan policies to differentiate between standard loans and reading room circulation loans
Agreement to further investigate loan data and discuss reporting needs in the next meeting
Purposed layouts
New Request
The “Reading room circulation request” option was added under the Request section. this is due to the way FOLIO is loading the information on this screen. IE it will not know if the box should be checked until the User and Item combination have been entered.
