Monitor agreements without linked e-resources

E-resources can be linked to agreements by connecting them as agreement lines. An agreement line can represent a package or a single e-resource (e-book, e-journal, database, etc.). An organization can monitor agreements without agreement lines with an ERM Agreements widget.

Active agreements without agreement lines

To start with a widget could be configured to list all agreements without linked agreement lines:

1. Navigate to the Dashboard app, and click the Actions button (top right) and select "New"
2. In the "Widget name" enter "Active agreements without agreement lines"
3. In the "Widget definition" dropdown select "ERM Agreements"
4. Click "Add filter" and from the "Filter by" dropdown select "Agreement status"
5. In Filter 1, Rule 1:
   1. set the "Comparator" to "is"
   2. set the "Value" to "active"

6. In Filter 2, Rule 1:
   1. Filter by "Has agreement lines" 
   2. set the "Comparator" to "no"

7. The filters are now set. You can decide to display five matching records in the widget by setting the "Number of rows" to "5". To sort them by agreement name, set the value in the field "Sort by" to "Name" and the "Sort direction" to "asc".
8. Now select the columns that should be displayed in the widget. Scroll to the bottom of the widget configuration form and click the "Add column" button two times. This will add two columns to the display, all initially set to "Agreement name".

   2. Leave the first as "Agreement name", and change the second one to "Start date" by selecting the values from the dropdown menu

   3. You could decide to add other or different columns to your display depending on your requirements. You can also change the label used for each column if you do not want to use the default value which is added when you select the Column from the dropdown
9. Finally, click "Save and close" to save the widget configuration and display the widget on the dashboard

Variations

If you want to include a grace period, you could modify the widget to use "Start date" as an additional filter.

1. Click "Add filter" and from the "Filter by" dropdown and select "Start date"
2. change the "Comparator" to "on or before"
3. change the date settings so they read "1 months before today". This sets a filter that shows only agreements whose start date is older than one month, i.e. if it is the June 18th 2021 today, it will only show agreements with an start date that is before 18th May 2021. The widget keeps track of the current date, so there is never any need to re-configure this filter once it has been created - whenever you look at the dashboard it will always take the current date as "today" for this calculation
