GBV - Reading Room Workflow

Info: GBV is a consortia/public hosting provider with several (around 200) small, middlesized and big libraries (in comparison to other German libraries)

 

Preconditions and Workflow in current system same as in Mainz University Library since it is the same legacy system

 

future requirements:

  • It is always possible to identify where exactly an item is located (possibly by item status):

    • on holdshelf in the reading room, but never retrieved by the user

    • in use in the reading room

    • on holdshelf, waiting for further use

  • It is visible to the service point at all times:

    • which items are currently on the holdshelf

    • which items are currently issued to the reading room

  • It is always possible to distinguish in the user account

    • which items have been borrowed home

    • which items are currently being actively used by the user in the reading room

      • currently in use (=patron responsible for item)

      • currently on hold (=library responsible for item)

    • which items are requested

  • Shelf clearance report

    • items never picked up within hold shelf expiration period for the service point

    • items not used within a set period after the last time it was returned to the hold shelf

    • items having reached the due date

  • Reporting:

    • Counter for every loan action (What keeps the staff busy?)

    • Counter for every single loan

    • and others

  • Does this indicate that a solution must be aware of and leverage ECS request workflows?

    • IE are restricted materials shared among members?

    • How are these requests currently handled?

This is not the case right know because of limits of the old System although there is a shared lending system in place in one of our library systems (I’ll ask them if they share these as well)

Currently we have a dedicated loan status for these kinds of requests (I can provide a small demo video to show this or screenshots)
