| Implementers Topic #140 Trigger email to requester on receipt In my role as the Acquisition Librarian at NUST Library, I have identified the need to integrate the requester's email address on the order or receiving side for efficient communication regarding requested items. Enclosed are screenshots illustrating the opportunity to include the requester's email address. This enhancement would streamline the process of notifying requestors about the status of their requests with a simple click. An automated email will be dispatched stating: "The Library has received the item/book you requested, and it is currently being processed." For further inquiries, please reach out to … Use case: Notify requester that the item they requested has been received and is being processed. However, do not place a request for that patron. The professor may request a purchase but not want the item themselves, they will want to notify their students when it is available.
Sara Colglazier 12:08 PM We at the 5C would also like this! It would be great in Receiving, to use, as part of the process, but entered at the time of creating the Order. Our old system had a function like this. Juleah Swanson 12:10 PM I would have to double check this, but I think we already have a similar process implemented, but I guess this is limited to items that do not already have holds on them. Receiving places a hold/request on items upon receipt. This triggers the email. If there is a hold on the item, would the requestor be notified when an item status changes from on order to in process then? Dennis: UXPROD-2565 Create requests for newly ordered items automatically. Allow users to add enough request information to the order to generate a request on the item being ordered when the order is opened. This way patrons can be notified that the item they requested has been ordered and follow it's progress. Sara: The patron wants to be notified and that it exists in our holdings and is here. It’s a request to be notified vs a request to hold an item. Dennis: Ok, this is separate from 2565. Will need to create a new feature. Juleah Swanson 12:17 PM Oh...I see we have that same issue, but currently our issue is less of a system issue and more of an issue figuring out the different between what patrons actually want - notification only or a hold. We default to holds now. But if we figured out how to better clarify this with patrons, we would use a notification only process. Lisa Smith, Mich State 12:17 PM I think of this as a "receipt alert." Sometimes we have librarian's who want to put info on their LibGuide when a particular title has arrived.

Background: During the year we have to do this really often, for example when the money of fund A is already expended but we still have lots of open orders on this fund A that then all need to be paid from fund B. In our current system this is possible with just a few clicks. Dennis: This is a bulk edit feature, but I can see that it’s not easy with bulk edit either. Not sure if this would be a finance feature or a bulk edit. Would you be moving all of the POL’s to the same fund? Dennis: Anyone else where the fund has run out and want to move all orders to another fund? Scott: Yes, Grant funds on a different fiscal year than other funds. :56 | Implementers Topic # 157 | Ann Cowley | Implementers Topic # 157 Encumbrances Looking at encumbrances, something isn't working quite right. This POL was setup 4/20/2022, as of yesterday was showing unreleased in FY2023, FY2024 and FY2025. I did release the encumbrance for FY2025 yesterday - but I had run the Recalculate Budget totals on this fund in November - why didn't this encumbrance clear up then? Also why hadn't it cleared up when our FSE ran the script for us to clear up encumbrances. We are trying to verify a report that we have developed to report encumbrances Dennis: Did fix bug associated with rollover transfers, so it may be script needs updating or something else going on. Ann sent all the information to Dennis for him to look into.
