Instructions
The feedback form generally follows the steps listed below. We suggest filling out the form as you work your way through the test.
Quick test (i.e., "does this look good to you?")
- Log into the test environment (linked above) using the credentials provided.
- Navigate to the Finance app and select the "Fund" tab.
- Select "Test Fund 1"
- Click on "TFUND1-TFY2024"
- In the "Financial activity & overages" column, review the values present.
- Click on "View transactions" in the "Budget information" accordion and verify:
- The sum of all "credit" transactions matches the "Credited" value in the "Financial activity & overages" table
- All "debit"-type and encumbrance-type transactions are in parentheses UNLESS they are $0. Note that this applies ONLY to "view transactions".
Complete test (i.e., "does this work properly? Is the math correct?")
- Log into the test environment (linked above) using the credentials provided.
- Navigate to the Finance app and either select an existing Fund or create a new Fund.
- If creating a new Fund, be sure to provide an allocation and current budget.
- Feel free to use Test Fund 1 (as described in Quick test), and feel free to add additional transactions.
- Navigate to the Orders app and create some orders and order lines. Ideally you will want to create enough to allow for at least one paid invoice AND at least one encumbrance.
- Be sure to assign the selected Fund to the POLs!
- Be sure to open the orders once created.
- Please note that more available data will provide a more realistic snapshot
Invoice creation
- From the new Order, select Actions → Create invoice from order
- If you only have one order with multiple POLs, remove at least one POL from the invoice so that POL remains encumbered
- Approve and pay the invoice.
- In Invoices, close the invoice in the third pane, then select Actions → New
- Fill in the invoice information, then Save & close
- For the sake of realism, it is recommended you use the same vendor selected in the paid invoice
- Under the Invoice lines accordion, select Actions → New blank line
- Fill out the invoice line.
- Under "Description", I recommend saying "credit memo", "refund" or something similarly identifying
- Use the same fund selected for the orders
- Select a Quantity of "1" and a sub-total of any negative amount.
- Save the invoice line
- Approve and "Pay" the invoice
Finance
- Navigate to the Finance app and select the "Fund" tab
- Select the fund you've been working with
- Click on the current budget for that fund
- In the "Financial activity & overages" column, review the values present.
- Verify that:
- the "Unavailable" amount = Encumbered + Awaiting payment + Expended - Credited
- Available balance = total funding - unavailable
- Verify that:
- Click on "View transactions" in the "Budget information" accordion and verify that in the "Financial activity & overages" table:
- The sum of all "credit" transactions matches the "Credited" value
- The sum of all payment transactions matches the "Expended" value
- The sum of all pending payments matches the "Awaiting payments" value
- The sum of all encumbrances matches the "Encumbered" value
- All "debit"-type and encumbrance-type transactions are in parentheses UNLESS they are $0. Note that this applies ONLY to "view transactions".
