Production Library - Metadata Record Management Workflows
Metadata record management staff from MSU, Simmons and Lehigh will walk through their workflows.
This is the first of what we hope will be at least several sessions focused on how FOLIO sites in production (or nearly so) handle specific actions / activities / workflows. The purpose of these sessions is not to identify or prioritize features within FOLIO that might be developed down the road; the idea is to provide an opportunity for those in production to show how they are accomplishing day-to-day library operations in the current version of FOLIO (Goldenrod). There are a variety of places we could start, we decided to begin with MARC record loading and management which would include importing records, singly or in batch, from different sources (e.g., OCLC, other bib utilities, record vendors), editing MARC records, singly or in batch and overlaying, and exporting MARC records for use elsewhere (e.g., union catalogs, record cleanup, etc.).

Just got overlay to work properly two weeks ago
They do most of their cataloging in Connexion
Use HRID as matchpoint because OCLC matching not working well now, should be better in Honeysuckle
Copy HRID into anything they are overlaying
Have to copy over some Sierra fields that they want to keep, there are no protected fields
Have a list of accidental duplicates and put the HRID into a 949 field in order to reuse the record and not have it hanging around and cluttering the db - this is done because instances can't be deleted
Simmons is just suppressing these - two steps, one for staff suppression and one for discovery suppression
Who brings in the OCLC record? Right now they aren't linking acq records to bib records
Q - how do you make changes to the MARC record once it's in your system? Small edits are done with QuickMARC - if it needed massive work would work on it in OCLC and re-import it - don't use MARCEdit right now, jut learning it

Demoed loading and editing a Kanopy record
Simmons receives electronic items, goes to OCLC and downloads a record
They edit in MARCEdit, not OCLC - one of their people is using QuickMARC
Then use data import from MARCEdit to FOLIO
In FOLIO they don't see much helpful about the status of the import
Q - why is the URL in both the instance and the holdings? Duke is not planning to use items or holdings for electronic resources - If using EDS, have to use the item record for it to display
Using HRID as the barcode in order to use it for Courses
Still working on streamlining
Honeysuckle will allow for more editing pre-import, and in Iris will be able to load single records without using data import
Batch record imports - still not sure about system stability with large batches
AMB - for repeatable fields, Honeysuckle will fix a couple of things that appear unclear now
Q - how do you make changes to the MARC record once it's in your system? - hasn't come up much, have been able to use QuickMARC so far

Jacquie - UX-PROD-1245 One-time escalation of permissions - is this something we should have in other apps, not just Circ? For ex, if a supervisor needs to help someone, doesn't have to log in & out. Where do we bring this up? AMB - add comments or use cases to the UXPROD. Tod - be wary of repercussions to security
