Housekeeping and major community updates
- Outstanding topics, please add any topics that have not yet been discussed, or those that you feel need more discussion to fully understand the issues
- All: Please add yourself to the SIG member list at Open Access SIG Home. This is optional but gives the larger community a sense of involved institutions and SIG expertise.

- Pick lists in the Open Access requests module
- In the OA application we have a number of places where to fill in some data on an OA publication request you can choose values from a limited list (these are called "Pick lists" in the user interface). We'd like to understand the most common values for these lists so we can populate them with a sensible set of options to start with. Please fill out your suggests in the sheet at https://docs.google.com/spreadsheets/d/1fKFy_C0SxVJp8g4iswgU6NTkJ9lhvgpaMj53a7fGF5c/edit#gid=0

OA pick list values discussion
All data is provided by the librarian and not the researcher. We will possibly integrate in the future with a publisher or request system to populate the form.
Publication type
Owen: On the Request New/Edit screen there are currently two options. Journal Article and Book. Selecting either one changes the fields presented. What fields should be displayed for:
“Journal”
- All agreed no other information is needed.
“Book” - "Year of publication" and "Place of publication" are displayed for a book
- Discussed eISBN as well - but this can be added as an additional identifier.
- All agreed that Year and Place of publication are not needed.
New publication type “Book chapter”
- Chapter and Title.
- Possibly whether it is in a series.
- We should try not to duplicate information stored elsewhere.
- Descriptive MARC data lives in the Inventory app. An item's presence in Inventory indicates that it belongs to a library's collection. Would the publication be part of the collection? The only way to link to full bibliographic details would be to link to a record in Inventory.
- Peter S - it might become part of the collection.
- Christina - if we fund it the electronic version becomes part of our collection after publishing.
Research data charges
Should these charges be recorded?
- Eloisa - it changes so much - are there plans to update the app to keep it relevant?
- Owen - hopefully! Can we anticipate what will be needed a year or two in advance? We could start simple and include options for "Type of data" or "Format" for example.
Publication subtype
This is a secondary field based on the selection of "Publication type". Looking at the Wiley list of publication types e.g. Case report, Clinical Message, Abstract etc, you would choose one of these for the type of publication you're aiming to support.
- Could we have an open field to record the type of research article?.
- We could make the values depend on the Publisher.
- E.g. for the type of Agreement, these are the relevant Publication subtypes?
- Eloisa - would be difficult for Wiley because there is another field to take account of "OA eligibility".
- Martin - not easy to work across publishers, they all have different rules.
- Eloisa: A free text field here would be good for reporting purposes.
- Martin: would be good to have the publisher classification in the data.
License
- Add "Other"
Publication status
- "To be submitted" - is this needed or is it sufficient to just not record a publication status?
- All agreed it is not needed.
- What is the status "Transferred"?
- Martin: it means transferred between journals. We would not create a new request unless significant data changed.
- Approval of the request will be handled under a different form control. .
Publication identifiers
- Michael: DOI, both with and without URLs
- Eloise: we always receive a “Manuscript ID”
- May need to review the terminology for the field "External request"
Aspect funded
Options relate to external funding organisations rather than internal. Publication and Research are the current options.
- All agreed these are fine.
Funder
- Eloise: we might record 3 different funders
- Michael: we also ask whether the funding is paid directly or as a refund, and whether the author has made a request elsewhere for funding.
General discussion
Will the lists and values be editable?
- You can change the labels of all the options but you need to retain the same meaning so that reporting etc is still valid.
- Some lists will be editable and some will be restricted. This is partly the reason for today's discussion. We will start with basic lists to begin with and then decide what needs to be editable.
