Treasurer report / budget

Council elections

Paula Sullenger

Boaz Nadav Manes

Paula: Budget can’t provide an extra 125.00 $ per year.

  • $400.000 income can be expectedin 2024

  • Dev. Advocate is save: for 6 month → should be extended when successful

  • AWS costs: a bit less than expected - under $ 20.000

  • Rest: $ not 100.000 incl. extra money from EBSCO from regular funds

  • In the bank: $ 150.000

  • Consequences:

    • Dev Advocate and ID contract can be moved ahead but we need more sustainability for next FY

  • How do we proceed?

    • Conservative estimates

    • Membership meeting to discuss way forward of the community: what goals do we want to be fulfilled by the community? How much funding is need for a stabilized engagement?

      • Wolfcon in person? Regular virtual membership meeting?

      • Advisory council? Engage with the Deans / Directors?

    • Maybe a raising of membership fees doesn’t resonate well?

    • We need more money in the systems to secure at least the projects we started:

      • Dev Adv., Infrastructure support, maybe even “support team” in the future

  • Result: we have agreement to continue with both initiatives!

  • Action item: Simeon Warner and Kirstin Kemner-Heek will hand in a meeting for the FOLIO community to WolfCon agenda

New Treasurer:

  • Kat Berry is volunteering → CC will vote next time

Upcoming council elections and draft appeal to institutions

  • A lot of people in the councils will leave in the next period

  • How to address new persons?

    • “A friend bring a friend”

  • FOLIO members meeting shortly and virtual to address the topic, invite to WOLFCON, etc.

  • Upcoming as well: FOLIO open update meeting → advertise as well

  • Strong statement: FOLIO needs new, fresh particpants this year!

  • Necessary time commitment: CC - at least 1 hr. / week, PC - approx. 3 hrs. / week

Action item: Maike Osters will volunteer on the election committee with Boaz Nadav Manes - ask Peter Murray to help with the voting platform - open: ask for help from the TC as well

FOLIO System Administration and DevOps

Per previous discussions (12-Feb-2024, 27-Nov-2023 ,2024-02-26 Community Council Meeting Notes) and acceptance of Index Data offer in 2024-03-11 Community Council Meeting Notes . Status update

  • see above

FOLIO Module Approval Process and possible MOU

Simeon Warner from Kristin Martin

From Kristin Martin - New FOLIO Modules approval process calls for potential MOU -

Once the module(s) are approved by the Technical Council, the module contributors will need to reach out to the Community Council, who will, at their option, supply the MOU detailing their commitment. The FOLIO SMLLC will supply MOU and store the final results. The Community Council will manage the renewal of the MOUs as appropriate.

Discussion started in 2024-03-11 Community Council Meeting Notes but we ran out of time.

  • Awareness of maintenance of modules / apps

  • Sustainability for at least the first years is desireable

  • Check other communities for their process: Koha (Kirstin), … more - please add until next time?

  • Action item: comment on the draft @all!
