FOLIO Codex meeting next week on 7/7, so RM SIG meeting cancelled 7/7

Consideration of schedule in July. Kristin Martin out 7/14

Kristin Martin

Next week, Codex SIG will take place of RM SIG, so no RIM SIG call next week. The week after, Kristen Wilson will take over as convener, as  Kristen WilsonKristin Martin will be out.

Revised version of complete RM Prototype and walk-through of features

Filip Jakobsen providing update and changes to provided some updates, and proposed changes for how information is shared before meetings. Filip shared a new prototype site at http://ux.folio.org/prototype/en/users. New structure , which allows exploration of sitethe prototype as it is developed. There's a video player, at "Watch Demo", which shows demo and describes demos of each related app. Comment space now included includes information about UX iterations, on discuss.folio.org. Filip creates a new topic on which with each UX iteration, so people can comment on each iterationas the iterations change. Also, designers will create a video before each SIGD SIG meeting, and give them SIG members time to review and invite appropriate colleagues. Will , as needed, to the weekly meeting. This will hopefully make it possible to include the most appropriate individuals more quickly. Will This will also make SIGS SIG meetings more accessible to those in time zones that don't match well with live meeting.

Multilingual prototypes are also available at through a language picker in lower left corner. Will Changing the language will affect many of the menus throughout the system, though a few still need to be converted. Will We will also have voice-overs for the video demos in other languages. The plan is that any prototype will have a video walkthrough, to make it possible for others to keep up, catch up, and know where the project stands.

More apps are available in via the dropdown menu from the arrow at top center, to right of visible app icons.

Recommendations for publishing summaries of features discussions

Kristen W asked question about how we connect before meetings – discussion list, slack list, discuss.folio, wiki, etc.? Need to ensure we're getting information about prototypes to attendees. Filip would like folks to link to ux.folio.org, as you can link to different apps directly; he would like to see people focusing on that site.

Sebastian Hammer asked about uploading protoypes. Filip explained that people can upload prototypes themselves; Stacks is working on making this work effectively. Filip and Kevin have been discussing this.

Starting this week, Filip will be back to working on the workflows that are relevant to RM.

Kristin Delwo responded to a question from Lynn Bailey, regarding the need to keep track of what Stacks is doing and what Filip is doing in design work. Together, we need to keep an eye on scoping, to ensure prototype work and coding are developing in tandem. K Delwo said Kevin will be contributing in the same manner as Filip is starting to do.

Discussion of orders prototype

Former user (Deleted)

Kevin presented a walkthru of the current prototype. Simple demo of existing states, items that can be tracked thru interface. Creating ability to change view; sort by columns; modify views, as needed. Plan is to only show tables on larger screens; hard to manage tables in smaller screens.

Filip talked about a way to turn tables in to cards on a small screen. Kevin said this will be doable through the preferences choice menu. The Preferences Configuration page will show one's default configuration, which one should be able to modify based on screen type/size.

What's displayed here is not yet in Filip's demo, but is up at folio.stacksdiscovery.com. This work will be moved into Filip's prototype tool next week. Information shown on sample order form, where vendor, funds, notes, etc. can be incorporated to task. Walked thru example of ordering process for items, serials, subscription. Later, K Delwo clarified that incorporating this into Filip's structure might take some time, depending on speed going in each project. S Hammer highlighted importance of sticking to design plans laid out within Stripes guidelines. Standard behavior between apps and among modules is making FOLIO look v encouraging. Sebastian suggested that we try to develop displays that lean on existing behavior of prototypes - vertical panes, drilling down, etc. Important to keep consistency through development and design. Also, he sees 'card' metaphor really useful in other apps, perhaps. Perhaps use card-style display through multiple apps.

"Serial" means single title; "Subscription" will be packages. Full API connection with order options is likely not v1, but will be looking to do read-only APIs, rather than push/pull APIs at very start. K Martin pointed out prior discussion about various order types, which would be useful for Stacks team to review as they put these structures into place. K Delwo said as content is published in next week or two, they'll address used terminology; this will also be a good place to put in comments about terminology, usage, etc.

K Martin pointed out importance of search box for a vendor beyond just a drop-down box. Same for funds. There are hundreds and hundreds of vendors and funds at large institutions. K Delwo asked about possible default short list of funds or vendors - perhaps by format? K Wilson suggested "recently used" or "frequently used". V Martin said most people at Duke only order from specific funds (these funds vary from person to person and in total are in the hundreds, but any given person probably only orders from just a few funds), so defaults there would be good. Only occasionally do they order from other funds.

K Martin asked about encumbrance and payment information; it's not yet shown in workflow. Asked for clarity on some of the financial issues. K Delwo said she's talked a lot with Leah about specifics, and that they're working through specific details to understand them as best they can before putting them into the prototype structure. Much work is going on with many different scenarios; they just need to be defined and clarified before building structure for this in prototype. Similarly, K Martin asked a bit about order hierarchy; lines etc., associated with each order.

K Delwo would like to publish to Google Drive to get discussion and feedback before meetings.

Review of configuration for v1

Leah shared Acq v.1 Scope of Work presentation. Leah is project manager and analyst at Stacks. Team has been analyzing tools, is trying to define scope for v1. Determine which items need immediate attention; which can be delayed.

Items to be included in v1:

  • configurable user interface
    • Responsive, mobile design; not just size, but also touch-screen functionality. Touch screen can be useful. Ensure scalable, and easily adaptable. Manage consistent look, feel, and behavior. Currently planning on four layouts for v1: Cards, Table, Full-Width, and Tabs. Others to follow in future versions.
    • Configuration of some fields will be include, but not all. They will follow in future versions.
  • filters
    • Change labels on filters on left side of screen; configure those labels, so they can be changed in the future
  • funds
    • Intentionally not yet included in prototype; want to ensure we're working on right process. V1 will allow user to create 1 or many funds. Funds can be edited or deleted (funds associated with an order cannot be deleted, but can be disabled for future use); can be associated with fund at order or item level.
  • users
    • single user with universal permissions in v1. K Delwo said permissions will be scoped soon for future permissions
    • Sebastian pointed out existing system-wide permission structure
  • vendors
    • v1 will only allow orders placed with EBSCOnet and GOBI; not with any others
    • several need to add vendor manually; just no "integrated vendor". Emphasized the importance of making connections with vendors other than just EBSCO
  • EDI
    • v1 will include some EDI protocols re transmission. not a lot of transmission, will come soon after
  • Orders
    • trying to make it easier for folks to provide feedback; much to be done in orders. In v1, user will be able to place new orders (incl subscriptions, serials, single items), save existing orders, CRUD orders,
    • using search terms, will be able to query the knowledgebase for results, perhaps limit by format
      • support for multiple knowledgebases is out of scope -
  • Codex records
    • when clicking send, system will search for record in Codex; if found, will associate PO line with that record. if no record exists, a new record will be generated.
    • will be following Codex SIGD and seeing how it changes, develops, etc. Also watching Metadata SIGD, as well.
  • Workflow
    • v1, workflow will be customizable through configuration → actions window. Some triggers will be available, but only a few.
    • K Martin, S Hammer talked about incorporating and managing central workflow design, in a way that allows it to be used across FOLIO. Plan to create small group to address this, will seek those interested in joining this group.
