1) Create the user

Go to Users >> Actions >> + New >> Fill out the fields (see below) >> Save & Close

  • Fields with * are required.
  • Patron group: In doubt, select a generic-sounding group, e.g. "Staff".
  • Barcode: I strongly recommend you add one, it will make your life easier if you quickly want to check out an item with your user.
  • Username: Although not required, you MUST fill in this field; you will use this username to log into the FOLIO environment. Save it somewhere safe, because it will not be repeated in the password email.
  • Email: Please use your real email address, otherwise you won't receive the email to set your password.

2) Assign permissions

At the moment, your new user cannot do anything in FOLIO. Assign permissions to grant your user access to apps and the right to use functionality.

From your user >> Actions >> Edit >> Scroll down to User permissions >> Add permission >> Select Permissions in the Seach & filter area >> Select all by ticking the box above the table >> Save & Close.

In doubt: Just add all permissions to yourself. You can adjust later if necessary.

Don't forget to Save & Close on the user level too!

2a) Assign a Service Point

If you are doing testing of functionality involving circulation then you also want to assign a service point to your user.

From your user >> Actions >> Edit >> Scroll down to Service Points >> Click Add Service Points >> Choose one or more service points >> Click Save & Close to return to your user record >> Choose a Service Point preference from the drop-down >> Save & close the user record.

3) Send yourself a reset password email

From your user >> Edit >> Folio password >> Click on Send reset password email.

You will have 24 hours to set a password.

N.B. If you are creating a student who would just check out items, then steps 2) and 3) are not necessary.
