Purpose: In Receiving App the accession number can be generated with a number generator. When the option accession number equals call number is selected, the same generated number for accession number will be entered automatically in the main call number field of the same piece in receive all view (piece/item level) and in add/edit piece modal.
User story statement(s):
As a staff person I want to assign an accession number in receive all view and add/edit piece modal in the Receiving App by using the number generator and the number generator sequences for accession number defined by my Institution in Settings > Service interaction > Number generator sequences. This accession number equals the call number on item level and needs to be copied in the call number field for the same piece/item automatically.
Scenarios:
1. Scenario: Use the same generated number for Accession number and Call number
Number generator is enabled in Settings > Orders > Number generator options (for Receiving) by selecting the options
Accession number - drop-down menu option “On, field editable”
or
Accession number - drop-down menu option “On, field not editable”
and
Call number - drop-down menu option “On, field editable”
or
Call number - drop-down menu option “On, field not editable”
And checkbox “Use the same generated number for Accession number and Call number” is selected.
By generating the accession number by using the accession number sequences via the modal in receive all view and in add/edit piece modal in Receiving App the same generated number will be entered in both fields accession number and call number for the same piece/item in the same row of the receive all view or the same add/edit piece modal automatically.
Depending on the selection in “Settings > Orders > Number generator options” the content of the accession number and call number can be changed or added manually.
The number generator sequences for call number on item level are inactive in Receiving, when “Use the same generated number for Accession number and Call number” is selected.
Once the check box “Use the same generated number for Accession number and Call number” is selected,
Accession number - drop-down menu option “Off”
and Call number - drop-down menu option “Off”
are not selectable.
When this check box is deselected the two options “Off” for Accession number and Call number are selectable.
2. Scenario: Use different generated numbers for Accession number and Call number
Number generator is enabled in Settings > Orders > Number generator options (for Receiving) by selecting the options
Accession number - drop-down menu option “On, field editable”
or
Accession number - drop-down menu option “On, field not editable”
and
Call number - drop-down menu option “On, field editable”
or
Call number - drop-down menu option “On, field not editable”
And checkbox “Use the same generated number for Accession number and Call number” is not selected.
Accession number and Call number will be generated separately using accession number sequences and call number sequences on piece/item level.
3. Scenario: Not using the number generator for accession number and call number
Number generator is not enabled in Settings of Receiving App by options:
Accession number - drop-down menu option “Off”
Call number - drop-down menu option “Off”
The option “Use the same generated number for Accession number and Call number” is not selectable
A Warning is displayed: Warning: The checkbox has been disabled because the Accession number and/or the Call number have been set to manual completion
