Purpose: 

In Inventory App the accession number can be generated with a number generator. When the option accession number equals call number is selected, the same generated number for accession number will be entered automatically in the main call number field both on item level.

User story statement(s):

As a staff person I want to assign an accession number in create and edit mode of an item record in the Inventory App by using the number generator and the number generator sequences for accession number defined by my Institution in Settings > Service interaction > Number generator sequences. This accession number equals the call number on item level and needs to be copied in the main call number field on item level automatically.

Scenarios:
1. Scenario: Use the same generated number for Accession number and Call number

• Number generator is enabled in Settings > Inventory > Number generator options by selecting the options

  • Accession Number “On, field editable”

  • or

  • Accession Number “On, field not editable”

  • and

  • Call number “On, field editable”

  • or

  • Call number “On, field not editable”

• And checkbox “Use the same generated number for Accession number and Call number” is selected
   

• Under the accession number and call number fields on item level the button “Generate accession number and call number” is displayed. In the modal “Accession number and call number generator” the accession number sequence can be selected and generated via the button “generate accession and call numbers”.

• By generating the accession number by using the accession number sequences via the modal in Inventory the same generated number will be entered in both fields accession number and main call number (both on item level) in create and edit view automatically.

• Depending on the selection in Settings the content of the accession number and call number can be changed or added manually.

• The number generator sequences for call number on item level are inactive, when “Use the same generated number for Accession number and Call number” is selected. On holdings level the number generator for call number can be used by using the call number sequences.

• Once the check box “Use the same generated number for Accession number and Call number” is selected,
  Accession number - drop-down menu option “Off”
  and Call number - drop-down menu option “Off”
  are not selectable.

• When this check box is deselected the two options “Off” for Accession number and Call number are selectable.

2. Scenario: Use different generated numbers for Accession number and Call number

• Number generator is enabled in Settings > Inventory > Number generator options by selecting the options

  • Accession Number “On, field editable”

  • or

  • Accession Number “On, field not editable”

  • and

  • Call number “On, field editable”

  • or

  • Call number “On, field not editable”

• And checkbox “Use the same generated number for Accession number and Call number” is not selected.

• Accession number and Call number will be generated separately using Accession number sequences and Call number sequences on item level. On holdings level the number generator for call number can be used by using the call number sequences.

3. Scenario: Not using the number generator for accession number and call number

• Number generator is not enabled in Settings > Inventory > Number generator options of by selecting the options:

  • Accession Number “Off”

  • Call Number “Off”

• The option “Use the same generated number for Accession number and Call number” is not selectable

• A Warning is displayed: Warning: The checkbox has been disabled because the Accession number and/or the Call number have been set to manual completion
