The meeting began at 11:00 AM Eastern/10:00 AM Central.

Agenda

1. Approve notes from May 21 call at https://folio-org.atlassian.net/wiki/pages/viewpage.action?pageId=3051761. No changes suggested.

2. FOLIO SC&A pop-up session at SAA in D.C. in August. The proposal for the pop-up session was submitted on May 31. Erin Faulder, Mike Thuman, and Sarah Schmidt have agreed to co-steer it. Voting for the pop-up sessions on the SAA Web site opened on June 1 and will close on June 22. Kathleen Feeney pointed out that even if our pop-up session is not selected, there will be other opportunities to address these questions at SAA. Kathleen, Jeanine Nault, and Aaron Rubinstein said that they hope to attend SAA, but are not yet sure if they can or how long they will be there. Julia Kim will be attending SAA, along with Mike Thuman and Sarah Schmidt.

Aaron Trehub pointed the WG to a draft of the open document for the pop-up session at https://drive.google.com/drive/folders/1bHtwQVj6P-689aLwIM-ITwlLdEcctQla. Aaron R. and Julia suggested re-orienting the document away from developing a new end-to-end system and towards soliciting input from the archival community on two things: (1) which existing SC&A systems they are using; and (2) gaps or deficiencies in those systems. Additionally, Julia suggested asking for input to the document from 20-40 institutions, perhaps by tweeting out the document's address.

Although it appears that the archives community is more interested in finding ways to make existing systems work better than in developing a new end-to-end system, there are institutions that have not yet committed to a specific system and may be open to an entirely new solution. We hope that the pop-up session and/or other discussions at SAA will help to clarify this basic question.

3. SC&A white paper for FOLIO SIGs. Aaron T. said that he will try to get started on this. He intends to use the WG progress report as a foundation, with sections on SC&A-specific needs in the areas of metadata, access, discovery, preservation, etc. He encouraged WG members to weigh in on the draft white paper, just as they have on the draft for the open document for SAA.

4. Other business. In response to a question, Aaron R. said that there could possibly be an international SC&A connection to FOLIO through the Expert Group on Archival Description of the International Council on Archives (https://www.ica.org/en/about-egad) and its work on a universal standard for archival description and the records-in-context model. He said, however, that the records-management needs of repositories in other countries differ significantly from those of repositories in the U.S. and North America.

Aaron T. said that it would be possible to change the call time back to the afternoon in Eastern Standard Time. Since the current time appears to work for the attendees, the suggestion was dropped.
