Updates on Active Initiatives

Update from Prioritization subgroup

@Alexis Manheim @Caitlin Stewart

https://folio-org.atlassian.net/wiki/spaces/PC/pages/931070022

If a ticket is slated for a release, can that be added to the dashboard? Yes, should be built into the process. Ask SIGs to do this? Color code the dashboard?
SIG conveners should be watching tickets and can then update their priorities on the dashboard/wiki.

Plan to come up with an initial draft of PC list of investment/development/ higher level of priorities to workshop/get feedback, finalize after WOLFCon. They should tell a coherent story about concrete improvements and know what done looks like at the level that the folks who control the money can understand. Communicate to the community, POs, institutions about how to invest in FOLIO to align with community needs. @Caitlin Stewart and @Tod Olson drafting strawman to share.

Documentation added to side section of CPD wiki page.

@Alexis Manheim will ask PC and SIG conveners to review documentation and provide feedback by 5/28.

How do we capture progress re: 2025 dashboard?
Caitlin will put together stats before asking SIGs to update their priorities for 2026. The group will talk more about timeframe on slack.

Retrospective on Umbrellaleaf monitoring effort

Conversation will kick off online

  • Asynchronous discussion in Retrospective on Umbrellaleaf Monitoring Effort

    • What went well?

    • What did not got well?

    • What do we want to do next time?

    • What other changes need to happen

    • How do we describe the role of the PC in light of these new initiatives?

    • What value proposition of the PC?

    • How can we reduce administrative overhead to make these processes more sustainable?

Need to keep overhead low for all involved in the process.

@Charlotte Whitt suggested we only use the PCE Jira project for functional endorsements, not other PC decisions. PC used to do this on the wiki. Should we retire this page? https://folio-org.atlassian.net/wiki/spaces/PC/pages/4883942
Caitlin, Alexis and Thomas say yes.

@Alexis Manheim will update the Decision Log page to show that decisions are made in Jira or recorded in the meeting notes.

Discussion about what it means for the PC to endorse something and the criteria for what should be reviewed by the PC. Evaluation process document from 2024 which includes what PC considers "new functionality": https://folio-org.atlassian.net/wiki/spaces/PC/pages/4885365

Needed shift perception of the process from approval or endorsement to facilitating/providing information and insight so the community knows what is coming in new releases. Less about what needs to be endorsed, but more about when it is beneficial to the project. The PC can help with coordination, communication, cross collaboration to help increase satisfaction with FOLIO

When libraries understand what is coming, they can better prepare for any impact on operations. The PC can take info in from the community and reflect/share it out to help us all understand better. Info pipeline. Reflecting community needs. Monitoring what is in upcoming release. Ex: RMS/PC Roles, Relations and Communication working group press release for Sunflower.

Look at TC process to help us improve our process
@Caitlin Stewart will draft a strawman.
