Suppression of records

Suppression of records, especially Staff Suppress, are not working how we need to. This is the beginning of a discussion about changes we would like to see with suppression of records.

This MM SIG meeting focused on staff suppress. Charlotte mentioned that staff suppress was initially set up as a way for cataloging staff to hide records that are not fully cataloged. Raegan made the MM SIG aware that some institutions use this functionality differently. For example, some institutions use staff suppress, so certain staff cannot access certain records. Also, some institutions use staff suppress to hide withdrawn or other inactive items.

Inventory Search Discussion

With Sunflower, the staff suppress check box is no longer checked by default.

One option is to add the staff suppress filter to the Holdings and Item tabs:

  • By adding the filter, staff (with certain permissions) can see holdings and items linked to instances that have been staff suppressed.

  • Jennifer: There could also be a note indicating that the holdings or item is attached to an instance that has been staff suppressed. Felix recommended making it explicit to prevent confusion. Sara liked the idea of a message, but we would have to think it through. For example, how would it work for a barcode search versus a search that brings up a lot holdings and items.

  • Jennifer asked why staff suppress was only developed at the instance level. Charlotte said staff suppress was a requirement for the instance record, and there was no discussion regarding expanding it to the holdings and item level. The idea was that staff suppress would be used for instances that are not fully cataloged. Raegan mentioned there may be some issues with suppressing at the holdings and item level, but the topic could be discussed at a later date.

  • Amanda mentioned that there may be an issue with staff suppression of holdings/items for instances when there are multiple holdings.

Inventory Browse Discussion

  • It was brought up in Slack that users are seeing items that were suppressed in the call number browse. The expectation was that if the instance was staff suppressed it would not show up in Browse.

  • However, Raegan mentioned the possibility of including filters, so staff can view those staff suppressed items.

  • Charlotte mentioned the design was, in general, staff should not see staff suppressed, but, if you had the permissions, such as catalogers, you would be able to see it. That should be how it works for Browse.

  • Raegan mentioned that it would be nice to have filters for items that are staff suppressed because they are withdrawn. That way we would still know the records are there.

Additional Discussion

  • Jennifer mentioned that a report that showed which instances have been stuff suppressed, but still have holdings and items that are not suppressed from discovery would be helpful. This is especially a concern for ECS libraries. Felix mentioned that this may be possible with the Lists app.

  • Jennifer mentioned that in the Data Import SIG they discussed he deletion of holdings and items. We currently do not know if that is a hard delete or if there is a tombstone. If there are tombstones, is that something we would want to search? The Data Import SIG decided to bring this up with the Cross App SIG, but it may be something that we want to discuss also during a MM meeting.

Raegan will let the MM SIG know what the next steps are. It is unclear whether we are ready to create Jiras.

Review of new functionality for Import https://folio-org.atlassian.net/browse/PCE-13 . Connecting union catalogs to FOLIO. It is a different way to import records than Data Import, but it is no intended to replace the Data Import app. Currently, the admin module for mod-inventory will just import instance records, not SRS records. Reach out to Felix or Charlotte if you have questions.

At the last meeting, they looked at modifications to the remove all action for MARC records in Bulk Edit. They want to make it more clear what you are removing (entire field or just subfield).

Data Import SIG

During this meeting, they also discussed the deletion of items and holdings using Data Import including ramifications for other apps, such as Finance and Requests. The SIG decided that is should be a larger discussion for the Cross App SIG.

I could see holdings/item staff suppress potentially leading to problems when there are multiple holdings (marking something for deletion or making bib/instance record changes) because you don't realize there are holdings you cannot see.
