MARC authority app experience sharing

Topics covered:

Background

• Previously worked mostly with Linked Data and BIBFRAME

• Went live with FOLIO 2023

• Breaking from loading and processing authorities until 2025

• Current FOLIO Release: Quesnelia

AirFlow Automated Processes

• Find instance records in FOLIO hat have been “cataloged” last seven days

• Send records to vendor

• Upload returned bibliographic and authority records

• Vendor sends new, updated, and deleted authority records

Functionality of the MARC Authority App

• Ability to link fields one at a time

• “Link all headings” button produces an error toast warning

Functionality Issues Discovered

• Created Cataloger Testing doc to track issues

• Search skips $c in the authorities search

• Search does not a find a match when you look up a field with $t (fixed in Trillium)

• Exact phrase heading test string matching search: issue when same term found in multiple vocabularies

• Name-title handling when linking the MARC 240 field

• When linking 650 field, the $a appears separated from other fields even when field is fully controlled

• issue with $1 hiding when linking $0

• UI not clear whether links are within or outside the system

Authority Settings Issues Discovered

• Unclear why some fields are required and which fields were editable and uneditable

• Unclear what is the functionality of the required “HRID starts with” field

• Prefix field is not editable and testing shows that this field is case sensitive

• Prefixes cannot be changed for local authority files if existing MARC authority records are assigned

• Analyze current workflows for vendor processing and automated processes

• Prioritize issues

• Investigate linked data authorities in 2026

Discussion

Q: What would be your recommendation be to other FOLIO libraries regarding when to start using MARC authorities in FOLIO? Should they start in Quesnelia or Ramsons or wait until Sunflower or Trillium?

A: Kalli mentioned that one of the reasons they started using MARC authorities in FOLIO was that they needed somewhere to store their MARC authorities. Kalli also noted that if the UI features are important to you, you may want to wait especially if you value automation and automatic linking.

Alissa Hafele from Standford added that coming from a library system’s perspective, because it is more about the processing of the files and loading, she was hesitant because of the lack of the automatic linking. Now that they completed this work, they were able to clear up and work through questions about authorities in FOLIO. However, they will have to revisit things when automated and bulk linking is introduced. Kalli agreed and tadded that it was a great learning experience about how Data Import and Data Export work.

Jeannette from Stanford mentioned that it is possible to match on UUID with Data Import. The issue they were having was the 001 field. Once this field is created, you are not able to update it, so changing the case was the problem.
