UI in Inventory

or Beyond instances – Display of Holdings and Items in the Inventory App

Introduction

Context: Currently, the instance dominates the Inventory UI when searching for and viewing of records.

General agreement that the SIG wants the Inventory UI and search to change to better accomodate the other record types besides instances.

Problem Statement

Instance-centric UI design

Challenges in browsing and navigation, e.g. serials or journals with hundreds or thousands of items

“Clicky” interface results in inefficiency

Core Questions for Holdings and Items

Search concept

  • Current model: A search on holdings and item metadata also returns instances

  • In comparison, other apps provide a way to search, view, and edit other record types in detail view, e.g.

  • There are ongoing discussion in the Ressource Management SIG that there are issues with the POL search. People don’t find it especially useful. Reason: Feedback is that the split of PO and POL into different entities is not helpful when working with the system. When user opens a POL, they don’t know who the vendor is. When using a single-line PO, then having the POL search separated is not meaningful.

  • We should keep in mind that when performing a holdings/item search there are elements from the instance that we might want to display as well in a “unified” result list. This applies also to a potential detail view of holdings/items.

  • Gap between user expectations and actual results. It feels like Inventory has a gap when it comes to holdings and item search, compared to other apps.

  • Currently Inventory does not support a MARC search in Inventory (and everywhere else) in the UI. Could look at this as requirement as well.

Result list design

  • What elements of holdings/items should be visible at a glance?

  • Does a multi colum list (MCL) fit our needs or do we should try another approach, like the concept of the card layout (UX-435: UX: Inventory. Hierarchical result list - with more dataOpen)

  • Some people mention that they don’t like the multiple pane structure at all. Given that this is a core concept of FOLIO having 3 or sometimes 4 panes, it does not seem realistic to remove them in one app.

  • Kimie shared a link to a directory on Google Drive with some mockups from summer 2021 showing ideas of the hierarchical display and a full-screen view of the different record types in Inventory.

Detail view (third pane)

Use Cases and Perspectives

Practical workflows, e.g. managing serials, location changes

Needs of different user groups, e.g. cataloger, resource access staff, acquisition staff

Inspiration from other systems, e.g. what are they doing better than FOLIO

Next Steps

Short term improvements vs. long term UI changes

How can UX/UI designers help with the process? How is the availability of Kimie?

How does this affect our MM roadmap?

Wrap up: Set priorities for the SIG and with the POs.

Collect and write-up use cases for searching holdings and items and how they should display.

Agree with Kristin! PO vs POL is just as frustrating as the Instance/Holdings/Item segment search

I like some of the elements of the card concept examples in UX-435, but am also wondering if there’s any way we can have more flexibility in instance displays. Context is key, and it changes from workflow to workflow

agreed, it is the general pattern across the platform

But the licenses get by without adding more panes and instead doing the lists? Vs things like pop outs I guess

2025-09-25 11:01:13 From Lisa Lorenzo (Mich. State University) to Everyone:
I agree the multiple panes aren't ideal, but as a sort-of counterpoint, my team and I do a lot of quality control work with subject and name headings, and basically because of inadequacy/lack of specifity in the search (i.e., can't specify things like a $2 value) we're often doing a search that's broader than what we need and then having to click on individual records to check and see if it's actually what we're after. So having a way to flip back and forth between MARC and the search results would be really useful, but currently the "View source" option causes the MARC to display in the full screen rather than the 3rd pane which makes it cumbersome to browse through a list of results. (If it's a really long list of results we just export and use MarcEdit, but if it's only like 10 records that feels like overkill.)

Julie, could you get a screenshot of Alma when you do a serial search for comparison? AP20 would be a good one

Sure - do you want to see a call number browse screen or searching on a barcoded serial item?

In our 2021 mocks we tried to show more data on the result list

There is also a barcode search in Items that is very useful for serials with many volumes

I appreciate the movement toward flexibility, especially in that Inventory isn’t used the same way from user to user

We'll continue this topic in future MM meetings.
