Status of the number generator

Demo: Number generator functionality in Inventory

Project Overview: Funded by UB Leipzig and development work by K-Int. Leipzing did some integration work at the end.

Sunflower:

Number generators options for Inventory app (also available for Receiving app):

  • Item barcode

  • Call number

  • Accession number

Other options:

  • Open Access: Publication request number (one sequence; numbers generated automatically)

  • Organizations: Vendor code

  • Serials management: Pattern number (one sequence; numbers generated automatically)

Trillium:

  • Item barcode in Fast Add

  • Users: Patron barcode

Settings > Service Interaction > Number generators (Eureka snapshot; Service interaction: more functionality in future):

Create new/edit sequence:

  • Name: search by name or code in Inventory to add sequence

  • Code: cannot be edited after creation

  • Enabled: enabled sequences are active and can be selected; disabled hidden and frozen

  • Option to delete (in Actions menu) or disable sequence

  • Maximum value: format field required if this field is used

  • Format: Option to pad numbers (leading zeros)

  • Warning threshold value: value when you receive a warning that you are reaching the maximum value

  • Next value

  • Checksum settings (mainly used with barcodes): check digit (6 methods)

  • Input template: for calculation purposes

  • Output template: define what your number will look like. You can use prefixes or suffixes.

  • Ability to search by name, code, note or output template

  • Filter for enabled and usage status (e.g. below threshold, at maximum, over threshold)

Settings > Inventory > Holdings, items > Number generator options

  • Select number generators you would like to use

  • For drop-down menus, three options: “Off”, “On, field editable” (option to use/not use number generator; number can be deleted), “On, field not editable” (must use number generator; number cannot be deleted)

  • New number order field in the item record schema

  • Upon module upgrade, sort order field will be populated with the current sort of existing items (barcode)

  • If sort order values have been stored in another FOLIO field or in a previous system, they can be mapped to the sort order field in the item schema

  • Sort order of newly created items will be the next available number in the sequence

  • Currently no validation for deduplication on the backend; if a duplicate value is created, there is no recalculation of the sort order for subsequent items

UI:

  • Leverage “Move items within an instance” functionality

  • Drag and drop to move items (using 6 dot menu)

  • Users can select multiple items (using check boxes) or move a single item

  • To save re-ordering, select “Stop items movement with an instance” in Actions menu

  • New column “Order” for sorting

Questions and Comments

  • Q: After saving the new order, when I create a new item where does it go? A: FOLIO would go to the highest current number plus one.

  • Q: How would this work for holdings that contain a high amount of items, such as 1000+? A: Recommended leveraging the API. In the current view, users cannot move items between pages with drag and drop. Some concerns were expressed regarding not be able to move items between pages in the UI.

  • C: Sarah recommended contacting those associated with the Receiving app to explore whether the order in the Inventory app can be reflected in the Receiving app.

  • C: Concern was expressed regarding a default barcode sort order for items.

  • Q: Is the order field is editable? A: No.

  • Q: Will the new saved order be reflected in Locate? A: Yes, it is passed on to RTAC.

Staff suppress changes:

  • Rolled back URL approach

  • Leverage the existing permission regarding the staff suppress facet

  • Before, users without this permission would not see the staff suppress facet.

  • With the updated permission, staff without this permission would not see the staff suppress facet or staff suppressed instances.

  • Staff with this permission will see the staff suppress facet and staff suppressed records.

Dennis Bridges presented on mod-mosaic. Mosaic will eventually replace Gobi. The Technical Council approved the back end. The architecture of the front end (should be approved soon) is not changing, just enhanced. This is set for Trillium. There was some discussion about a general edge api that any vendor can use.

The Acquisitions SIG is thinking about doing a demo by Harrassowitz. They are interested in using mod-gobi or creating their own module.

The SIG will be using Jira to track issues that need review by the SIG and those that have been reviewed. Being discussed is a process for getting new ideas into Jira in a way that has no barriers for the community.
