Bulk Edit
The Bulk Edit app in FOLIO enables authorized users to apply changes to large sets of records in a single operation. Introduced and expanded significantly in recent releases, Bulk Edit is designed to reduce repetitive manual updates and support consistent data management across the system.
Purpose and Scope
Bulk Edit allows users to identify up to 100,000 records and update supported fields simultaneously. The app supports bulk modifications of the fields for the following record types:
Inventory records: Instances, Holdings, and Items
User records
Ways to Identify Records
Records can be selected for bulk editing using two primary approaches:
Query-based – Users build and run queries directly within the Bulk Edit app to identify matching records.
Identifier-based – Users upload a .csv file containing record identifiers (such as UUIDs or barcodes) to target specific records.
Editing Workflow
The Bulk Edit process follows a structured and safeguarded workflow:
Select record type and identification method
Preview matched records to confirm scope and accuracy
Define edit actions, such as:
Replace values
Find and replace (including partial matches)
Add or remove values (for supported fields)
Review changes on a Are you sure? screen
Commit changes, after which the system processes updates and generates logs
Supported Fields and Safeguards
Only specific fields are available for bulk editing, and supported fields vary by record type. This constraint helps protect data integrity. The preview and confirmation steps act as additional safeguards against unintended changes.
Permissions and Capabilities
Bulk Edit permissions are managed through Eureka capabilities and capability sets, replacing traditional permission sets. Capabilities control who can:
Build and run queries
View records and logs
Edit inventory or user records (in‑app or via CSV)
Without the required Bulk Edit capabilities combined with functional capabilities for each record type, users cannot access the app or perform bulk operations.
Logging and Error Reporting
Each bulk edit job generates detailed logs, allowing users to review successful updates, warnings, and errors.
