Discrepancies in record counts

This page is designed to detail some of the known differences between record counts between the Lists app and other FOLIO apps.

Inventory counts vs Lists app counts:

• Instance counts should be the same unless

  • the user is unable to view staff suppress in Inventory 

  • an inventory record was not indexed properly

• Holdings count will most likely not be the same

  • the Lists app searches and counts holdings directly

  • Inventory searches holdings but displays/counts instances 

• Item count will most likely not be the same

  • the Lists app searches and counts items directly

  • Inventory searches items but displays/counts instances 

Estimated counts vs Lists app counts:

You may notice differences between record counts shown in the Lists app and those displayed within individual apps like Users or Orders.

• the Lists app/FQM returns an exact record count

• some apps rely on estimated counts to maintain performance.

This is especially noticeable when there are greater than 1,000 records; although these counts in Users or Orders may appear precise, they should be treated as approximations rather than exact totals.
