Marking Users as Inactive
Manage User Inactivity Using Folio Query and Bulk Edit
1. Navigate to the Bulk edit app
You'll see how to build queries and apply bulk edits to update user statuses effectively.
2. Navigate to Users Section
Click the Users section to access user management features.
3. Open Query Interface
Click Query to start building a user search.
4. Select Users Category
Click Users to specify the category for your query.
5. Enter User Keyword
Enter the keyword USER to filter relevant user records.
6. Build User Query
Click Build query to generate the search based on your criteria.
7. Open Field Selection
Click Select field to choose the attribute for filtering.
8. Choose Active Status Field
Click User — Active to filter users by their active status.
9. Select Operator for Condition
Click Select operator equals not equal to is null/empty to define the filter condition.
10. Confirm Operator Selection
Fill the operator selection to specify the condition for active status.
11. Open Value Selection
Click Select value True False to choose the value for the active status filter.
12. Set Active Status Value
Fill the value selection to indicate the active status condition.
13. Add Additional Filter
Click the plus-sign to add another filter to refine your query.
14. Open Field Selection for Filter
Click Select field to choose the next attribute for filtering.
15. Enter Group Keyword
Enter group to specify the user group attribute.
16. Select Group Field
Click group to apply the filter on user groups.
17. Choose Operator for Group Filter
Click Select operator equals not equal to in not in is null/empty to set the condition for group filtering.
18. Confirm Group Operator
Fill the operator selection to define the group filter condition.
19. Select Group Values
Select the user groups such as faculty, graduate, remote non-circulating, staff, and undergrad to include in the filter.
20. Fill Group Values
Fill the selected group values to apply the filter.
21. Test Query Results
Click Test query to preview the users matching your criteria.
22. Execute Query
Click Run query to retrieve the filtered list of users.
23. Open Actions Menu
Click Actions to access bulk editing options.
24. Start Bulk Edit Process
Click Start bulk edit to begin modifying multiple user records.
25. Select Bulk Edit Option
Click Select option to choose the attribute to update.
26. Choose Expiration Date Field
Click Expiration date to set a new expiration for user accounts.
27. Open Actions Dropdown
Click Options Actions Data Actions Select control Expiration date Actions select Replace with to specify the bulk edit action.
28. Show Date Picker
Click Show/hide datepicker to select the expiration date.
29. Pick Expiration Date
Pick the date of the expiration, for example Nov, 23, 2025
30. Enter Expiration Date
Fill 11/23/2025 to set the expiration date for user inactivity.
31. Confirm Bulk Changes
Click Confirm changes to apply the expiration date update.
32. Commit Bulk Changes
Click Commit changes to finalize and save the updates to user records.
