User (staff and patron) workflows

  1. Staff workflow in FOLIO - “standard multipart volume or serial request” 

    • Patron connects with library staff (in-person, email, phone, etc.) 

    • Patron requests a multipart monograph or serial - single volume/part (item level request)

    • Staff opens Requests in FOLIO and opens a New request form 

    • Staff places volume-item record barcode in the Item barcode field

      • Details appear or error displayed

    • Staff places patron/requester information in applicable field 

      • Details appear or error displayed

    • Staff chooses request type from dropdown

      • Details appear or error displayed

    • Staff confirms or changes fulfillment preference field

    • Staff clicks Save & close

    • Request is placed or error displayed

    • Request can be managed with existing FOLIO (single and multi-tenant) functionality 

  2. Patron workflow in Discovery

    • Patron finds materials in Discovery

    • Patron places request on 

      1. Multipart monograph or serial - standard request (single volume/part)

      2. Batch request

      3. Specific article/pages in a volume/part of multipart monograph or serial

    • Requests are confirmed

    • Requests appear in patron’s discovery “bookshelf”

    • FOLIO fulfills or sends error for requests

  3. Staff workflow in FOLIO - “batch multipart or serial requests(LOC use case)

    • Patron connects with library staff (in-person, email, phone, etc.) 

    • Patron requests a multipart monograph, serial, or other use case noted in the feature AND wants vols. 6-15 of set or serial run

    • Staff opens Requests in FOLIO and opens a New request form 

    • Staff places volume-item record barcode/instance HRID in the Item/Title barcode field and chooses the correct parts/volumes

      • What does this look like in the New request form? Multi-select menu? Text box? This will require working with Anne & Kimie. 

      • Details appear or error displayed

    • Staff places patron/requester information in applicable field 

      • Details appear or error displayed

    • Staff chooses request type from dropdown

      • Details appear or error displayed

    • Staff confirms or changes fulfillment preference field

    • Staff clicks Save & close

    • Request is placed or error displayed

    • Request can be managed with existing FOLIO (single and multi-tenant) functionality 

  4. Staff workflow in FOLIO - article/pages within a volume or serial (LOC use case)

    • Patron connects with library staff (in-person, email, phone, etc.) 

    • They found a title in a catalog. They looked at the holding statement and need issue 56 out 80; they want a specific article and page numbers so just that can be filled, not the whole issue (currently occurs through Illiad which does not connect directly to Voyager)

    • Staff opens Requests in FOLIO and opens a New request form 

    • Staff places volume-item record barcode in the Item barcode field

      • Details appear or error displayed

    • Staff selects/chooses the pages and article

      • What does this look like in the New request form? Text box? Something else? This will require working with Anne & Kimie. 

    • Staff places patron/requester information in applicable field 

      • Details appear or error displayed

    • Staff chooses request type from dropdown

      • Details appear or error displayed

    • Staff confirms or changes fulfillment preference field

    • Staff clicks Save & close

    • Request is placed or error displayed

    • Request can be managed with existing FOLIO (single and multi-tenant) functionality
