Minutes

  • Development progress - ERM sprint 155-156
    • Combined ERM sprints 155-156 due to holidays (reported in last meeting)

    • Finished migration of test frameworks from framework big test to new framework rtl

    • Bug fixes and work for Nolana release and for Morning Glory hot fix

    • Next sprint is the last one before Orchid feature freeze

    • Name of Q release is changed from Queen Anne’s Lace to Quesnelia

  • Editing multiple Agreement Lines on a single screen
    • Simplifying the Agreement edit screen by removing the AGL from that screen and better ways of editing AGL together

    • Gill worked on Design and mock-ups

    • Proposal - no decision, yet – getting feedback is very helpful

    • Maybe offer update multiple lines with the same information at one time (right now copy and paste) – maybe direct mechanism

    • Adding a new action to the Actions menu “edit all agreement lines”

    • Replacing the sections in the Agreement edit screen

    • Tabular display with fields directly editable and then save & close to save the edits

    • Bulk actions button: Idea that the button becomes active when Agreement lines are selected via check boxes

    • Option to update fields with fields you will update in multiple lines: Notes, Active from and to dates, Suppress from discovery check box - Discussion which fields will follow 

    • Q1: Do you think this approach to editing multiple agreement lines be appropriate and allow you to work efficiently? If not, what concerns or observations do you have about the approach?
      • No concern that it is less useful than the current approach

    • Q2: In the tabular display illustrated we are displaying a limited amount of data for each agreement line. To see the full agreement line information you could open the agreement line in the agreement line view and, if desired, edit it from there. Is there any information missing from the tabular display that you would want included?
      • The view of the agreement lines in the agreement and the edit view of the agreement line will not change

      • Need to look at the Suppress from discovery

      • to obey any settings or have appropriate settings
      • already in settings “Display “Suppress from discovery” setting on Agreement lines" (Titles in packages, Titles)

      • If offering for bulk edit then we would offer the displayed infomation it in the table or other approach

    • Q3: We have selected specific fields that are available in the 'bulk edit' form as being the ones you are most likely to want to update for several agreement lines at the same time. Have we missed any agreement line fields that should be included in the bulk edit options?
      • Selected e-resources accordion in mock-up can be ignored for the moment

      • Felix commented in the document: If you make a change to the POL would it replace it or would it add to?

      • What is typical here? Both options needed?

      • Martina S.: look-up is adding – when replace than replacing – clear terminology
      • Jack: not default to replace

      • Jessica (chat): I can't think of a situation where we would bulk edit to one PO line

      • There was a use case at last meeting - number of resources that happened on the same POL  

      • Felix (chat): Like yearly eBook packages

      • specific titles from a package with separate agreement line for each title, but the titles are ordered as part of one POL – example: comes with title

      • Examples to add a POL number?  new POL created which applies to all the AGL? 

      • Jack:  create new agreement – active to and from date – adding it to multiple AGL – did not happen for existing POL, yet

      • One POL to one AGL is clearer, but we are allowing multiple POL to single AGL and multiple AGL to single POL

      • Could be an option to either add or replace

      • Specific note for the agreement line and we have the notes app - preserve the current note and I add a new one?

      • Felix: issue with note fields and suppress fields – some agreement lines have a notes. What will happen when the note field is empty during bulk edit? What will happen? Delete every note?

      • Same with active date/suppress from discovery – How do we know if it should be deleted or unchanged?

      • Need some options on the form - not overwrite it unless it is wished for

    • Q4: This approach assumes that the requirement is to edit a set of agreement lines based on them belonging to a single agreement. Would it ever be useful to have a similar option to edit multiple agreement lines even when they are not on the same agreement?
      • Clarify on this point – not edit across all agreements at once, but a mechanism for selecting

      • Kristin: don’t want people to be confused – different column for agreement?

      • of potential interest but no immediate use case 
    • Molly (chat): maybe we can find a middle ground with a similar approach to the Bulk edit app?

      • update vs. replace - bulk edit app is a little bit overkill for what we would like to achieve for small amounts – bulk edit app for larger changes 
      • Molly (chat): and also the ability to clear fields. it's within a single screen, but you choose which fields to interact with so it's more explicit.

      • Owen will take a look at the bulk edit app

    • Q5: If we load all the agreement lines for the agreement in the proposed edit screen we may still see performance issues for agreements with hundreds of lines. If we were to instead limit the new edit display to a smaller number of agreement lines, and provide filtering options for the list, do you think this would be effective, or is it simply necessary in some cases to have all the agreement lines from a single agreement available on a single screen?
      • Large number of agreement lines can cause performance issues – e.g. dealing with AGL link to eHolding - requests information from eHoldings – potential two steps can slow down the process

      • Some mechanism to limit it on screen to avoid performance issues

      • Could be a setting for how many will be displayed

      • Load more = adding to the current list 5 + 5 = 10 or 5 on the next page?

      • Jessica: 10 / adding to a list already displaying

      • Jack: behave as in view screen

      • Would this have to have some filtering options to be practical? 
      • Jessica: filter is benefit – allow load more lines is important and filters nice to have

    • Useful approach - more work to be done for this proposal
