Task 1.6: Acquisition unit that protects “create” on an agreement

This task is designed to gather feedback on the mechanisms for protecting the “create” action by an acquisition unit. The “Create” protection works in a slightly different way to the View/Edit/Delete protection and can be thought more of protecting the ability to assign a particular acquisition unit to an agreement.

If an acquisition unit has the “Create” checkbox selected, then only members of that acquisition unit will be able to add the acquisition unit to an agreement. Users that are not members of the acquisition unit will not see the option to assign the acquisition unit in the UI and would not be able to do so if they tried via the API directly.

When creating acquisition units and agreements, please treat the names given in the instructions (Science Team, Science Database etc.) as suggestions. In order to avoid clashing with others carrying out the same UAT it’s better to create your own unique names for units and agreements.

  1. Login to Snapshot or Snapshot-2 or Eureka Snapshot Folio with the username/password: diku_admin / admin

  2. Navigate to Settings → Acquisition Units

  3. Create a new acquisition unit called "Science Team Protect Create" with the checkbox for Create checked

  4. Assign your user with the role-erm-admin permission set / “ERM Admin” authorisation role to the acquisition unit

  5. Logout, and log back in as your user

  6. Navigate to the Agreements app

  7. Create a new agreement called "Science Database Package 2026"

  8. In the agreement edit screen, locate the acquisition units field and assign the "Science Team Protect Create" acquisition unit to this agreement

  9. Save the agreement

  10. Verify the agreement saved correctly and has the acquisition unit assigned

  11. Logout, and log back in as diku_admin

  12. Create a second new agreement called "Humanities Database Package 2026"

  13. In the agreement edit screen, locate the acquisition units field and try to assign the "Science Team Protect Create" acquisition unit to this agreement

  14. Verify that you are not given the option to assign this acquisition unit

Remember, the point of this task is to allow you to explore the functionality available, so feel free to vary the task and add any feedback you have to the spreadsheet.
