Something I lost when we moved to FOLIO three years ago. :13 walkthrough Will now see allocation tools:
Editable fields: Fund Status, Budget Status, Allocation increase/decrease (not a transfer!), Allowable encumbrance, Allowable expenditure, Transaction description, Transaction tags (can add or create new)
Recalculate - does validation If you make other changes, have to run recalculate again before save & close Will supply warning as applicable, e.g. Total allocation cannot be less than zero Save & close
Can also do offline Actions > Download allocation worksheet (CSV) DO NOT DELETE UUIDS - this is where all the matching happens Can change fund status, budget status, allocation adjustment, transaction tags, transaction descriptions Actions > Upload allocation worksheet (CSV) Drag & Drop :20 - Will do some validation on upload Has already run recalculate - Save & Close once you’ve verified it’s what you want
Batch Allocation Logs - Job name currently “Update finance data” but will be changed to something more meaningful Can download spreadsheet Do not support transfers If no budget, you can create budget as long as fiscal year exists

Look at what was purchased on ongoing orders the previous fiscal year. Of those titles which ones haven’t been paid in the current fiscal year, estimating remaining. Like to run every week or so to see if keeping on track or not
Scott Perry (UChicago) 8:35 AM Unbilled ongoing orders Susanne Gill Not possible right now, but the status of claiming, in which cycle piece or item is in (1st, 2nd, 3rd, etc.) Can check if PO is active, pending, closed, but can’t get list of cancelled POs or POLs. Expense class overview in whole for fiscal year, not only for fund Inventory list with title information, money spent, accession number from the item
Scott Perry (UChicago) There are several shared github repositories from several Institutions that are for reports in this area using metadb (and others) that might be a good place to look for reports. Kristin - Workflow/new acquisitions received - trying to track throughput. Look to see per FOLIO user how much was received in a given day - helps making a case for how many staff needed, benchmarks for what is anticipated for staff to do, is a backlog being built, etc. Would be great to use something like the lists app to look back at a previous day, see everything received and who received it If you didn’t want to know who, could look at total receipts in a day just for tracking workflow Maybe set a time period (week, etc.)

Order - ongoing and not closed, no invoice in the current fiscal year Amount of invoice from previous FY Summary amount paid in the prior fiscal year. Composite entity type that will work with it.
