PC Update

Kristin Martin

  • Two PC meetings since last update.

  • Eureka transition - coming in Sunflower

  • Changes in permissions

  • If you are interested in learning more, welcome to check out different activities in Implementer’s SIG and User Management SIG

  • Discussing Product Council goals

  • Jesse Koennecke working on calendar (via Google)

    • Might be something where SIG can use it too

  • Conversation yesterday with Oleksii Petrenko - timeline for Trillium

    • Current expected release date of Nov. 11

    • Slides available from Product Council meeting

  • Release cadence - two big releases per year

    • Fall would be longer, Spring shorter - in reality not working out well

  • Wildcard of Eureka - supposed to help with getting functionality out quicker - releases may become more fluid

  • BugFest will get easier when not trying to test Okapi and Eureka

  • Any thoughts about cadence for releases?

Housekeeping

Heather McMillan

  • Molly still looking for help with documentation for claiming app

    • Susanne volunteered

Batch Allocations

Joe Reimers

  • At end of primary development cycle for Trillium release

  • Enable allocation at ledger level and group level - not at fund level

  • Scott Perry (UChicago) 8:12 AM
Yay.  Something I lost when we moved to FOLIO three years ago.

  • :13 walkthrough

  • Will now see allocation tools:

image-20250228-141317.png
  • Batch allocations - do it in FOLIO method

  • Fiscal year - only current or future

image-20250228-141354.png
  • Opens all funds associated with ledger

image-20250228-141432.png
  • Editable fields:

    • Fund Status, Budget Status, Allocation increase/decrease (not a transfer!), Allowable encumbrance, Allowable expenditure, Transaction description, Transaction tags (can add or create new)

  • Recalculate - does validation

  • If you make other changes, have to run recalculate again before save & close

  • Will supply warning as applicable, e.g. Total allocation cannot be less than zero

  • Save & close

Can also do offline

  • Actions > Download allocation worksheet (CSV)

  • DO NOT DELETE UUIDS - this is where all the matching happens

  • Can change fund status, budget status, allocation adjustment, transaction tags, transaction descriptions

  • Actions > Upload allocation worksheet (CSV)

  • Drag & Drop

  • :20 - Will do some validation on upload

  • Has already run recalculate - Save & Close once you’ve verified it’s what you want

Batch Allocation Logs -

  • Job name currently “Update finance data” but will be changed to something more meaningful

  • Can download spreadsheet

  • Do not support transfers

  • If no budget, you can create budget as long as fiscal year exists

:24 - error/alert examples

  • If you delete line and add incorrect line in CSV, should spit back an error and not bring it in

  • Alert: Fund has not been changed and will not be updated

    • In log will only show one record because other record was not changed

Questions?

  • Dung-Lan - can allocate budget for future fiscal year as long as fiscal year exists?

    • Anything in future fiscal year will be planned budget

    • Have not changed how POs interact

    • Can’t do anything with the money until in that new fiscal year

  • :29 - Scott Perry - Which release is this in?

    • Sunflower

  • John Banionis 8:29 AM
    Great new feature!

  • Ann Crowley 8:29 AM
    Looking forward to this feature!

  • Does the logging look ok?

    •

Lists app

Joe Reimers

  • What types of reports do you need to generate that you cannot currently generate?

  • Lisa Smith, Mich State 8:34 AM
I'd love to be able to generate a serials projection on demand, with that would definitely need $ included

    • How is this built?

    • Look at what was purchased on ongoing orders the previous fiscal year. Of those titles which ones haven’t been paid in the current fiscal year, estimating remaining.

    • Like to run every week or so to see if keeping on track or not

  • Scott Perry (UChicago) 8:35 AM
    Unbilled ongoing orders

  • Susanne Gill

    • Not possible right now, but the status of claiming, in which cycle piece or item is in (1st, 2nd, 3rd, etc.)

    • Can check if PO is active, pending, closed, but can’t get list of cancelled POs or POLs.

    • Expense class overview in whole for fiscal year, not only for fund

    • Inventory list with title information, money spent, accession number from the item

  • Scott Perry (UChicago) There are several shared github repositories from several Institutions that are for reports in this area using metadb (and others) that might be a good place to look for reports.

  • Kristin -

    • Workflow/new acquisitions received - trying to track throughput.

    • Look to see per FOLIO user how much was received in a given day - helps making a case for how many staff needed, benchmarks for what is anticipated for staff to do, is a backlog being built, etc.

    • Would be great to use something like the lists app to look back at a previous day, see everything received and who received it

    • If you didn’t want to know who, could look at total receipts in a day just for tracking workflow

    • Maybe set a time period (week, etc.)

  • Lisa Smith, Mich State 8:40 AM
Expense class + paid amounts from invoice is something else we need

  • Serials projection where orders are not encumbered?

    • Order - ongoing and not closed, no invoice in the current fiscal year

    • Amount of invoice from previous FY

    • Summary amount paid in the prior fiscal year.

    • Composite entity type that will work with it.

  • Lisa Smith, Mich State 8:51 AM
I like to sort by vendor in projection spreadsheets

  • Stuff on continuation funds with unknown future commitments - for specific title

  • Scott Perry (UChicago) 8:52 AM
I think if you include vendor it can be included or not in the final usage.  Maybe expense class(es) as well.

  • Lisa Smith, Mich State 8:54 AM
    And fund

  • Vendor performance report
