PC Updates

  • 2025-02-06 Product Council Meeting Notes

    • Elections are coming up - will be looking for new nominations

      • Product Council (PC), Technical Council (TC), or Community Council (CC)

      • One person per institution on each council

      • Institution must have FOLIO membership

    • New Discovery SIG formed from subgroup: Meeting Notes (Discovery Integration Subgroup)

      • Previously subgroup under Sysops

      • Nicole Trujillo as convener

      • Will meet biweekly

      • #discovery in Slack

  • 2025-02-13 Product Council Agenda and Meeting Notes

    • SIG conveners meeting discussion around prioritization topics to get added to the roadmap

    • Also talking about how to improve engagement across more community members

      • Smaller members vs. larger members

      • Onboarding for individuals and institutions?

  • Having FOLIO be more welcoming

    • Inviting new people to introduce themselves if they want to

    • Making sure someone addresses question in Slack if no one responds

    • Can be overwhelming with so many groups, not always knowing when to speak up

    • In another SIG talking about smaller ways for people to get involved - not as much of a time commitment

      This might be a crazy stupid thought, but what if we (as a SIG) had a once-every-2-months-or-so "Coffee break" where the focus is on people rather than product? Welcome newcomers, tell us about yourselves, etc. etc.

  • Finance - add additional column at budget summary overview

  • Came up in Bavarian subgroup when discussing budget summary

  • In the budget summary overview of expanse classes, there is a column entitled “Percentage of total expenditure” and the percentage refers to the allocated budget. We would like to make two columns out of this: Once the percentage of the respective expense class based on the allocation (How much of my fund is planned for which expanse class?), once the percentage of the respective expense class based on the actual expenses (How much have I spent of my fund so far or in the respective FY for which expanse class?).

  • What kind of activity is done regularly that would benefit from being able to see this in the budget details? Or would this be desired in an exported report?

    We would also like a column for % of Total Funding (or Total Allocated, if need be) for Expense Classes

    For example we have a fund for physical books, and the selectors are to spend various %s of the total, like English 10%, Geology 15% etc

  • Are there policies in place indicating that only a certain percentage should be spent?

    • Don’t have these policies, but for subject librarians - it is helpful to see if faculty ask about percentage spent

  • :24 - Discussion about fit/look, if there are other implementers topics impacting this

  • Things might start to get a little crowded. Have option of implementing show/hide for columns.

  • % of total expended unhelpful - doesn’t do anybody any good until end of fiscal year

    The difference being that % of total expended will always add up to 100%, while the % of allocated will only approach 100% as the FY wraps up

  • At the group, if you have funds organized into groups, when you look at group record have similar information about expense classes but for all funds. Would you also want to see this value at the group level?

      I would like to see percentages at the group level as well

    • For question from department, having it at the group level could be great. For selector part, might be irrelevant. Different use cases.

  • While testing linking our POLs to Holdings now that we are in Poppy, I noticed that a reopened order will maintain it's reason for closure in the Holdings record, which makes it a bit confusing. I'm assuming this is just a bug and needs a ticket? It happens in Ramsons BugFest too. It's not as common, but there are cases for ongoing orders where a title will cease and then come back or we might cancel and then reinstate.

    And that for Ongoing Orders at the POL level the options were not just Ongoing & Cancelled. Ongoing things can be Ceased or Complete, etc. like reasons for closure.

    Reason for closure was for the "closed" workflow status, if the order reopens again then the reason for closure no longer relevant to the reopened order.

  • Sara - Would be good to revisit this whole thing as a group. Reason for closure - very tricky. Separate cancel action, don’t get pop-up for supplying a reason. Wait until the last possible minute to close something, because want to get all notes together. Funky interaction between POL and PO.

  • Currently, "approve" and "pay" are either two different options in the actions menu, or one option that combines both. In the settings app (invoices → approvals), the preferred option can be chosen, which is then bound for all users. Depending on different types of invoices, it would be useful to be able to choose from both options for each invoice. The decision should be made in the actions menu of each invoice instead of being defined in the settings app.

  • e.g. - Invoices with foreign currency - may need to change the exchange rate value

  • Want to have both options in the actions menu

  • Not everybody working on invoices will have rights to change this option in the settings app. For those it would be important to be able to choose on invoice directly

  • Would it make sense to tie this to some data point inside the invoice?

  • In some cases, are there users that should not have permission to pay invoices?
