Implementers Topic #37 - display of piece records in related invoice for POLs

  • POL does not have piece information in related invoice area.

  • Field would list all the pieces, wasn’t specific to invoice, just pulling everything. No way to associate pieces with a specific invoice.

  • Resolution was to get rid of field entirely in invoices as well.

    The subscription date range and/or comment field being displayed is helpful for us.

  • Multiple challenges

  • For standing order more complicated because there might be specific pieces involved.

  • How do we represent these periods of subscription within an ongoing order and how does that all link up? (Pieces, invoices, etc.) Feels like a worthwhile conversation to have either here or in Serials group.

  • For current resolution, needs to be workshopped by Serials group.

  • No transferability of supplementary properties from Agreements.

  • Custom fields would be more likely to be transferable.

  • Perhaps could work if custom fields added to invoices.

  • Request that this could be exported to LDP.

  • Think that is still possible?

Implementers Topic #111

  • One team looking to extend dashboard functionality to acq.

  • Work is in development hell - keep discussing, but not moved forward because of priorities and complexity.

  • Discussion with GBV who have funded work on dashboard. Is it useful to extend functionality?

  • Exact nature of what that might be is still unclear.

  • With initial Serials work, had an idea that a dashboard widget could be added related to Receiving.

  • Discussed whether it would be better to expose data from lists app or mod-fqm.

  • Currently discussing next set of developments. Not agreed upon

  • No timeline for Lists App including receiving

  • Has to be funded and useful to those funding it.

  • If the work got funded, would need information about what is highest priority to access or most useful / what kind of filters one might want. Would depend on nature of work being done.

  • Most likely work to be funded is related to receiving.

  • If this were to move forward in the near future (next year?) and there was a dependency on Lists App. Thunderjet might be able to resolve that dependency.

  • First feature: https://folio-org.atlassian.net/browse/UXPROD-4536  Add support to dashboard for simple search widget that can use CQL syntax

    CQL is the query language used by orders/invoices (and many other apps) to retrieve data via the AP - so if we implemented that, it would make it possible to start building Acq based widgets

  • Second feature: https://folio-org.atlassian.net/browse/UXPROD-4808  Add support to dashboard for simple widget that allows users to display multiple List app lists on Dashboard

    As explained - if we could display lists from the lists app in a widget on the dashboard it would open up any data that can already be reported on in Lists. Potentially the implementation might end up going directly to mod-fqm which is the module that underlies the Lists app - but this would deliver the same ability - being able to display on the dashboard data available to the Lists app

Incorrect encumbrances

  • Recently looked at negative encumbrance issue and expectations around encumbrances.

  • Thunderjet looking at problems and complexities.

  • In some cases end up with negative encumbrance value which is odd, but not necessarily incorrect.

  • Scenario 3 - end up with inflated value for encumbrance.

  • Have uncovered a number of situations where encumbered amount ends up being an unexpected value.

  • Hoping to develop a very complete solution to this problem. That might mean focusing on the most complete solution possible and delivering it with Trillium vs backporting something to Sunflower.

    For me, we learned to live with encumbrance issues.  We actively look for encumbrance errors.  As long as the expenditures can be trusted, I could wait for trillium.

    In the #folio-release-managemen-stakeholders channel, there is discussion about getting out a communication of Trillium timelines. But the bottom line is:
    The RMS group convened on Tuesday, August 26, and after reviewing recent release cycles and current priorities, chose to postpone the Trillium release until Spring (exact date to be confirmed).

  • Think we have to change schema to store more data.

  • Having limits, but implementing some mechanism that allows tracking of number over time.

  • With any changes that happen over time, need to make sure none of the amount disappears.

  • No more definite date than Spring 2026 for release

    • Has triggered some movement for some things to be brought into CSPs in Sunflower.

    • Not keen to see schema changes included in service patch release.

    Would there be a script to correct these already existing with migration to trillium?

    • Will definitely be a migration script associated.

    • Will have to update existing transactions. Will potentially impact budget totals if you do have transactions that are updated in a certain way.

  • Alternative UI solution in POL

  • Could be an accordion for receiving history under the related invoices accordion. With two accordions together could quickly compare.

  • Wouldn’t need to expand columns for related invoice lines. Would just be adding information already present in receiving history.

  • Do you want to see, specifically for a certain invoice what the pieces are? Or is it better to see it in context?

  • Standing orders different from subscription.

  • Need the ability to browse when troubleshooting.

  • Sometimes the volumes come completely out of sequence, etc.

  • Need to see the broader picture, not what is covered by these dates in this invoice.
