Serials Subgroup

  • Serials functionality spread across a number of applications - a number of them need to manage serials

    • Orders, prediction patterns, claiming, bindery, inventory, etc.

  • Felt it would be useful to have a group devoted to this - set up as a subgroup of Acq SIG.

  • Will start meeting every 4 weeks on Friday (offset from this Friday)

    • First meeting is next Friday - July 25th - 8:30 AM ET

  • Main page: Serials subgroup

    • If planning to attend, add yourself as a member

  • Looking for topics in general and for first meeting: Parking lot | Future topics

    • Areas that need development, better coordination between modules, etc.

  • If there are things that need to be brought back to a broader group, can also do that.

  • Would serials print holdings display in Discovery or Library Catalog be part of the discussions realm of the Serials subgroup?

    • Yes - if it turns out that it would be more suitable for discussion elsewhere, can move that over.

  • At least initially, anything that relates to print serials is fair game for discussion

Lists App - Order – Invoice Analysis

  • UAT on orders / invoice analysis with lists - Based on feedback from testers, have made a couple of changes.

  • Record Type: Order – Invoice Analysis

  • Looking for orders where you have an invoice from last year and no invoice this year:

    • PO – Order Type = Ongoing

    • PO – Related fiscal years contains all

  • Have also added Inventory information

  • This will be in Trillium

  • Joe will show off exactly what this looks like in a future meeting.

     

 

Implementers' Topic 184 / Lists App Capabilities

  • School had IPs changed and had to contact every vendor (about 60 total)

  • No easy way to get large groups of contacts out of Organizations if that is something you need

  • Subset of Organizations - contacts, emails and phone numbers

    • Yes, with enough time and effort - not necessarily friendly to everyone.

    I would say any kind of change that needs to be communicated to vendors would be another use case

  • Organizations + Contacts entity type in Lists might allow for this

    • Organizations with a specific contact person or list of contacts of a particular type

  • Working on do-it-yourself ad hoc entity - not sure this will be done for Trillium

  • :31 - Interesting intersection between Lists and Acquisitions because of export functionality

  • Lists integrating with dashboards?

  • What do you think of leveraging Lists for things like this?

    • E.g. - could implement export for Organizations records (Export Contacts to CSV)

    • Could also create Lists for those results

    I'd rather have as much through Lists as possible so that things are as universal as possible across apps

  • Good thing about CSV directly is that you can tell it to get everything - all fields

  • Easier to manipulate which columns are not desired in Lists

  • Could see use of Lists being a plus as long as there is no loss of the ability to get at certain data

    • Don’t want to move to Lists and then realize it doesn’t include certain fields

    Regarding Export vs. List - if one of these allowed saving the selected export fields, I would probably lean toward using that application. Otherwise, I prefer using the Export functionality. I use that currently to export data for reconciling against our campus financial system.

    Yes, I have recurring exports and would like to be able to save the export parameters

    I've also been told that the infrastructure exists for canned reports. We haven't done anything with it yet, but it's something we could explore

  • Jessica - pull out weekly orders lists from App - option to save parameters is a very attractive time saver

    • If there’s a way to toggle dates in this, that would make it work

  • Sara - Save query and then it is quick and easy to edit. To change date range just click, edit, and run. Everything else is saved.

  • Lists is starting to be able to cross app information.

  • New infrastructure - FQM - FOLIO Query Machine

  • How things get named in Lists has to truly match up with the Apps. Has not always happened.

    There is an overlapping feature with Dashboard that is perhaps worth mentioning is to combine Lists (or the underlying FQM) with Dashboards UXPROD-4808: Add support to dashboard for simple widget that allows users to display multiple List app lists on DashboardOpen

    The challenge I'm wrestling with regarding FQM is how we want to handle aggregation (e.g. total expenditures, fund balances, etc.). Lists can look at transactions, but handling the math is still a question mark.

    • Sara - don’t think we should expect Lists to do math for us.

  • I think we can do math, but should we? Should we explore canned reports? Can we rely on Excel to math transactional outputs?

      Personally I prefer math outside of the ILS?

      I like to math outside of the ILS as a check on the math happening in the ILS (like Finance app totals)
