  • Next Monday UAT for new functionality that will be in the lists app

  • Much of this functionality was suggested by the SIG

  • Challenge of doing a UAT like this is that it is a little more nuanced and requires a bit of interpretation rather than step 1, step 2, step 3…

  • Added record type Order – Invoice Analysis:

  • Can query from POs, POLs, invoices, invoice lines, fiscal years, organizations, and a little bit of title information.

  • All the information needed to project upcoming expenses, etc.

  • Demo in Snapshot is limited, but hopefully will be more information in UAT environment.

  • Can make as simple or complex as desired.

  • Will stand up a dedicated UAT environment. Will add some records so there is a better chance of finding good results.

  • Hoping you will come up with your own queries and think of your own use cases. E.g.:

    • I’d like to know anything I paid last year and have open orders for this year.

    • What all did I buy from a specific vendor last year?

  • Will open on Monday (6/2) and close on Friday (6/6)

    • Joe will reach out if this changes

  • Does not currently look at Receiving data, but you can look at receipt date or receipt status from the POL

  • Can assign order template category to order templates once created.

  • It is multi-select.

  • Does it make sense to have template categories be filterable, sortable? Or is just keeping a template name list enough?

    What's the purpose for template categories?

    • Doing some API work. Can transmit the category so only certain templates get sent back and forth between vendor and system.

    • Usability piece for libraries with several acquisitions staff. List can get long and categories may be able to help streamline this.

  • Thinking of possibly allowing users to say, put this category at the top of the template list

  • Pop-up or separate search bar for template category

    Could a template category be assigned to an acquisitions unit?

    • Not considered yet. Possible enhancement. Would be curious to hear more about the use cases.

  • Would you see just category, click the category, and then see templates?

    • That’s the question. Do we want button like organization lookup? Do we have a separate box that allows you to narrow by category? Keep template box, but have subheaders with various categories?

  • Example given of inventory statistical codes.

  • In Sunflower release added Application display order

    • One approach considering is adding acquisitions section and then template categories where categories could be organized in a similar manner as application display order. Or show only certain categories, move certain categories to the top, etc. Could be on per user basis.

  • Kind of hits on acquisitions units. Would be helpful to have ability to limit some from view. Like being able to float to the top, but like even more being able to not see templates never used.

    What would be really helpful is for templates to be tied to user and the ones that they use most frequently would be at the top of the list

  • Would be tied to the user, but rather than keeping tabs on which ones used, you would tell FOLIO which are most important.

    This would also save people from accidentally getting the incorrect template

  • If not able to do this, might be worth looking at association with Acquisitions unit.

    What happens when a user wants to share a template or leaves?  If they're tied to users, would you need a template manager to transfer ownership of templates?

    • Everything is managed through template categories.

    • Settings > Orders > Order template categories

    • Others can still use template/rename/reassign

    • All templates are shared unless go down the acquisition unit route.

    • Not that template is tied to user. User can favor certain template categories.

  • :38 - May invite Kathleen Moore to future meeting for discussing Lists already existing

    • Beneficial to have someone come and provide feedback.

  • Molly did some testing in the lists app re: discussion in last Friday’s meeting:

    • If you are using lists app, column selections are not only unique to the list, but also the user accessing the list. If there is a shared list - one person could look at only 5 columns and another person at 10. Can personalize own view of list shared with someone else.

  • Would be valuable to have more discussion about lists app and reporting for acquisitions.
