Warnings for expired licenses on agreements
- Multi-valued terms for licenses
Minutes
Development progress update
- Lotus release sprint
- there is a Kiwi bugfix release deadline as well
- releasing both new updates for Lotus and bugfixes for agreements for Kiwi bugfix release
- respobse time in agreements can be very slow in Kiwi if there are many agreements → solution is in testing
- Felix in chat: How many agreements does it need to get to the point where the app gets slower?
- Owen: there was a change in Kiwi; not only agreements but agreement lines are retrieved as well
- so it will depend not only on the agreements but on the number of agreement lines as well and the related resources
- Felix: would it be worth revisiting the decision to display the agreements when entering the app instead of needing to search first?
- Owen: happy to revisit - added to Implementers page to come back to discuss it
- Felix in chat: How many agreements does it need to get to the point where the app gets slower?
- other issue: number of agreement lines to be displayed, that is set in settings, was ignored
- Sara: when starting FOLIO and Agreements for a moment the E-resources and platforms tab is displayed although, the "Hide internal agreements knowledgebase" is checked in settings and the tabs should not display - after some seconds it changes to the correct display
- Owen cannot give a definitive answer; hide internal KB is changing the UI, no different software; the functionality is still there, but hidden from the UI
- it is possible, that when logging in there is a timing issue where the system has not retrieved the information from the settings
- Owen will follow up with the developers
Warnings for expired licenses on agreements
- expired amendments on agreements → there is an exclamation mark as a warning on the agreement record
- there is no such functionality for an inactive license on an agreement at the moment
- feedback:
- it would be great to replicate the functionality for the amendment - for licenses in a controlling state
- would be helpful to add some kind of a report to the dashboard
- when do we expect to see this kind of warning?
- more focus on license status;
- there could be an active license with end date in the past (PCA example) → information banner would be wanted here
- another example: end dates may not be used until something is done (open ended); so tying to dates is problematic
- warning is important while working on a record; is highly important and would be a good improvement
- additionally reports are really important or at least having the option to search and filter for expired but controlling licenses
- sharable widgets would be great → some planning on this has been done → would need resource to be delivered
- status is primary
- because of the short notice we will revisit the document/questions, then Owen will come up with a proposal
Multi-valued terms for licenses
- sometimes there are single license terms where I would like to record multiple values
- example: forms of authentication/supported authentication types
- questions: are multi-valued terms always pick list type terms
- Jack/UMass: pick lists most pressing, but multi-value free text fields would aslo be helpful
- Julie: Duke would not need multi-valued terms; using y/n and adding an internal note
- Felix: term for applicable law - (e.g. Germany, Switzerland) - if there are 2 countries, which can occur in edge cases, multi-valued terms would be needed
- ERM team needs to get to the technical difficulties that have been encountered
- Owen will come up with a proposal (best structure in data model and best structure presented to users need to align)

It’s me that owes the apology rather than Martina - the delay was all my fault!
