 Description

Assumptions - Items associated with Courses
Items will be in inventory
Items may be physical or electronic
Items may be owned by the library or not (Teacher supplied) and will have an item record
Item loan rules will be managed by FOLIO loan policies specified in Circulation App
Items put on reserve may receive a temporary item type and temporary location. The permanent item type and location will remain in the system.
Items history will be retained (i.e. old “reserve” records will remain until explicitly purged) so that once an item returns to its permanent item type and location, the reserve item type and location, along with the dates of those will be retained (for reporting purposes)
Story | Description
Having created Course records, Library staff require the ability to associate items with the Course, change the location, material type and circulation policies for the item and perform other management functions

The Item section includes an “Add Item” box, an “Action” option (allows users to make bulk location and item type changes to selected items. Also allows for export of selected items in CSV format), a “Select all” check box.

Individual item records include two types of fields:
Fields from Inventory
Item barcode
Title
Contributor
Permanent location
Call number
Volume
Copy
Enumeration
Status
Temporary location (editable in CR app)
Temporary loan (editable in CR app)
URL/PDF link
(Status is omitted, as it would quickly become outdated if we copied it.)
Fields native to Course Reserve Items
Item Start date (editable in CR app)
Item End date (editable in CR app)
Processing status (controlled vocab)
Ex: “recalled”, “on order”, “in cataloging”
Copyright tracking % [check box] if checked includes the following fields

Additional sections of this item used in this course [check box]
Copyright status [dropdown with authorized value list default values of “Fair use | Copyright in process | Copyright paid]
Total number of pages in item [free text]
Total number of pages used [free text]
Total % of pages used [free text]
Payment based on [free text]

To add an item to a course the user will:
Go to the course record and scroll down to the “Items” section at the bottom.
Scan a barcode or enter a title into the text box (this needs serious work)
Search for the item (in inventory) using a title search
Select a “Create Item” button (this brings them to a short inventory record?)
Once the correct item is located the system (say by using the barcode) the item information will populate the following, non-editable item fields with data from inventory”
Item barcode
Contributor
Permanent location
Call number
Volume
Copy
Enumeration
Status
URL/PDF
The following fields will then be edited by the user:
Temporary location (provides a selection list of locations)
Temporary loan type (provides a selection list of item types)
Processing status (provides a selection list of processing status)
Ex: “recalled”, “on order”, “in cataloging”
URL/PDF link (blank)
Start date (auto filled with course term start date, but editable)
End date (auto filled with course term end date, but editable)
If the item is already on reserve for another course within the indicated dates a warning message appears below the Start and End date boxes. “This item has already been added to Course [course code] X during those dates”
Copyright tracking % [check box] if checked includes the following fields
This item falls under fair use [check box]
Different sections of this item used in this book [check box]
Copyright paid[check box]
Total number of pages in item [free text]
Total number of pages used [free text]
Total % of pages used [free text]
Payment based on [free text]

----2018 Course Reserves —

PO created mock up : https://folio-org.atlassian.net/wiki/x/jR8i

Just like in the inventory app the Course is like the Bib record and the items associated are like the the holdings records. Admins in FOLIO will want to add items ( both P & E) to a course record.

Create an Add Items button on the course records to be displayed once a course record is created.
That would open a section that would allow for an item look up or a scan item box.

For print item that will be placed on reserve for a course the item needs to be changed to the temp location - ( out of scope for this Q4 - nice to have a batch to update to the temp location and available time frame)

For an e item all of the above is true with additional fields for copyright information. (see mock up)

For e & p we need to be able to set a date/time for availability of reserve item that is shorter or longer than the course active date.

Anya it looks like you didn't get a backend estimate on this. Can you please follow up with Jakub Skoczen to get one (per the Dev leads by area doc, he is the backend lead for this project): https://docs.google.com/spreadsheets/d/1SktTRFLXckqszKOcFJZdEFLRcXUEDHS_8RvIp_Jjpxc/edit#gid=0

Jakub Skoczen- would you please provide backend estimates on this - on the other UXProd-622, and UXprod-628 you estimated medium

Anya, I don't see any stories linked to this feature, but I am pretty sure you said the backlog was complete. Can you please link this up and mark it Analysis Complete? Thanks!

There needs to be support as part of this for items that are not catalogued but need to be available via reserve - for example, if a faculty member provides a scanned article that they'd like to have hosted for their students. The article may or may not be one that the library owns a copy of already. This may take the form of an integration with an outside file server where the file might live for integration, or it may require adjustments to the brief record / on-the-fly process specifically for this use case, it's unclear to me from the notes so I want to make sure this is captured.

Hi Kelly Drake, can you please put a PO rank on this?

On the fly records are required as part of associating items with Course Reserves

Comment by Holly Mistlebauer [ 23/Sep/19 ]

Holly changed the Fix Version from Q3 2020 to Q4 2019. Features with a Label of cap-mvp must be scheduled for Q4 2019 at the latest.

Comment by Mike Taylor [ 25/Sep/19 ]

Aside the fundamentals of record display, creation and editing, and searching, this is where the bulk of the work is. It's not just about associating items with courses, but maintaining reserved-item records that cache data from the items, and from their holdings and instances; and allowing some of that to be overridden; and implementing bulk actions.
