 Description

Current situation or problem: Currently in FOLIO, there is not a way to indicate that the pick slip for a particular request has already been printed. At the point of printing the pick slip from the queue (requests filtered by location), libraries need a way to indicate a request slip has been printed, in order to prevent retrieval staff from reprinting the same pick slips and duplicating retrieval efforts.

In scope

  • Enable primary workflow function to print pick slips that have not been printed by another library staff member
    • Need to be able to print pick slips, again, in some cases (e.g., first printing was in error, lost pick slip, administration or department lead needs a copy of pick slip)

Use case(s)

Primary Function: Deter duplicate printing

  • As a staff member working with others and printing pick slips to take into the stacks to locate materials, I need to make sure I am not printing the same pick slip twice, so that I do not go looking for the same materials as my colleague.
  • As a manager in a large library that prints lots of slips, I need to not print unnecessary slips, so that I can keep costs low and be helpful toward the environment.
  • As a fulfillment staff member I need to be able to only print specific slips related to the location (print queue), so that I can efficiently collect materials on a quick turnaround basis.

Exception Needed: Printing duplicates when necessary

  • As a library staff member pulling materials from the stacks, sometimes I lose print slips and need to reprint them so that I can retrieve materials.
  • As a library staff member who works in quality control, I need to be able to print duplicate print slips, so that I can look for missing materials (not on shelf).
  • As a staff member working on pulling materials, I may accidentally print the slip to another location queue and need to reprint it to the correct location, so that I can take the slip into the stacks in my location.

Proposed solution/stories

Enable system to track slip printing events for each service point and automatically populate that information the next time a User goes in to print, allowing library staff to only print after the datetime of last printing

Questions

  • Can pick slips be reprinted once printed the first time?
  • How could pick slips be regenerated if they can't be printed more than once?
  • Who is generating the PDF vs printing paper pick slips? (think through workflow of staff that retrieve materials)

One thing to look out for here, depending on how you were going to determine eligibility for printing the pick slip, is that requests can be changed to pages, so you can't rely on creation date.
