 Description   

Current situation or problem: A number of bugs have been reported regarding the calculation of remaining encumbrance amount. Fund distributions are often changed causing order an invoice to get out of sync. This makes it impossible to track how much money has been spent against a specific order on the fly.

In scope

  • Review the current approach to calculating order encumbered and expended amount
  • Review the current approach used to track what has been expended for a given order and how much encumbered value should remain when encumbrance has not been released

Use case(s)

  • Order and invoice fund codes get out of sync towards the end of the year with ongoing orders we need to change the fund for payment because the original fund does not have enough money in it.
  • Approval purchases are sometimes encumbered against a certain Fund (general approvals) but changed to a specific endowment fund because it is a good use of the money.
  • Ongoing orders could be paid in 1 year against certain funds and then paid the next year against different Funds.
