 Description   

Current situation or problem:

FOLIO has five canned email templates that can be used when setting up user accounts.

Email Template #1: Activate your Folio account
Email Template #2: Reset your Folio account
Email Template #3: Folio account successfully created
Email Template #4: Username located email template
Email Template #5: Your Folio password changed

Each of these templates is stored in mod-template-engine, but unlike patron notice templates, they are not able to be edited through the FOLIO user interface. This represents challenges to libraries who would like to include new / different wording and branding in the emails that come from their FOLIO systems (such as libraries using ReShare, which utilizes FOLIO's user management system.)

In scope

  • Developing an area of Settings where each of these five templates can be edited through the FOLIO UI, such as a new area in Settings > Users or Settings > Tenant. It's likely that because these involve password resets, libraries may want only systems administrators to be able to modify these templates, while a broader group of staff have access to create templates for patron notices - so it makes sense to differentiate between the two.
  • Developing appropriate permissions to control access to the new area in Settings
  • Include existing tokens or add new tokens as appropriate.

Out of scope

  • Changing how those emails are delivered to FOLIO users

Use case(s)

  • A library has required institutional guidelines on text to use when passwords are reset, such as mandating that staff members call a phone number when an unexpected password reset occurs. They need to include that text in the message.
  • A library wants to include a link to new hire training material in the "FOLIO account successfully created" email to help new staff easily find their way to help materials.
  • A library is using ReShare but not using FOLIO, and wants the email text to talk about ReShare instead of FOLIO.

Questions

  • Are new tokens desired, or would libraries want access to existing tokens that are used in patron notices? Or, since it is always the same email text for a tenant, is it enough to not use tokens at all?
