 Description   

Purpose/Problem:
Libraries need to be able to print and send notices via snail mail. In some cases, this is due to a mandate, such as a requirement to send final unpaid fee/fine notices via snail mail instead of by email or SMS. In other cases, it is a preference by the library or patron.

Description/Use case:

  1. Define which formats are allowed at tenant level
    1. If print is allowed and user preferences are allowed, then allow users to select print as a preference
  2. Setup notice
    1. Define print template for a specific notice
    2. Setup triggering event/conditions in policy and pull in notice templates
    3. Add to circulation rules
  3. During bulk processing, scan for matching circ rules, notice policies and templates, and print notices

Implementation Thoughts:

  • Add a print option to notice format configuration at the tenant level
  • Add a print template to notice templates
  • Add a notice print format option to notice policies
  • Allow for printing of these notices in bulk (and schedule when this runs or run it on demand?)

Additional Information

  • See attached mockup for template ideas (done early in project). It'll depend on whether or not the same template with multiple formats defined will be used where some users/patrons will receive their notices via print and some via email (depending on preferences and settings). If sending email or print are distinct and different use cases or scenarios, then keeping print templates and email templates separate might be a better choice.

Comment from March Meeting : We may not be able to print emails sent to patrons. Log may indicate communication happened, but not the details.
Will need to ensure that all patron records have an email address in order to receive communication.
May need to look at log of communication to see records of messages sent to patron. What message / content viewable in UI? (that the message was sent / what the message included)

What is needed a communication log

Duke would like to ensure that printing can accommodate changing paper / print size (like half-sheets) or specialized printers (like receipt printers, as opposed to computer printers.)

RA SIG meeting on 7/1/2019 - This has been ranked highly for a couple reasons:

  • If email is empty, then it's printed instead*
  • If email bounces (or bad addresses), then it's printed instead*
  • European libraries need to send print notices due to mandates for fee/fine (i.e., 3rd notice must be printed and sent via mail)

*These two use cases extend the original intent of this feature.

Hi!

Does this ticket cover both real-time and scheduled notices? I noticed this phrase in the description:

During bulk processing, scan for matching circ rules, notice policies and templates, and print notices

Several libraries I have spoken to, implementing or interested in FOLIO, have mentioned wanting to print check out and check in notices – ie two types of real time notices.

I'm not sure if this fits here but at Michigan State, we need to print receipts when a fee/fine is waived or paid. We currently have to use a snipping tool to capture the information we need for auditors, and it is awful.

MOBIUS has also asked about if this feature will cover being able to both email and print bills. Does this feature (or another) cover this scenario?

Thank you, julie.bickle ! MOBIUS has some libraries that will email a billing notice, but also need to print a hard copy for their records. I wanted to be sure that requirement was captured here to allow both type (email and print) for the same notice.
