Details from the local planning committee:

1. Attendee list: We have the preliminary list of participants for each preconference workshop available here (current as of February 2nd, 2017): https://docs.google.com/spreadsheets/d/1KRRk5msx2D5XGJws4IQR7LQmcsxYcDEtu4ukxpFz47Y/edit#gid=578182856. Just look for the tab for your session. Feel free to email your workshop participants with preparatory materials and questions/preparation requests.

2. Preconference registration and full conference registration: Please let us know if you were unable to register for the Code4Lib Conference (and wish to attend). Additionally, if you are a workshop leader for a half-day preconference and wish to attend a preconference in your available time slot, we are waiving your preconference registration fee. If you already registered and paid the preconference fee and would like to get a refund, let me know and we will follow up on this ASAP.
3. Finalizing a/v and room requirements: We need to firm up some of the spaces’ A/V requirements by Sunday, February 12, 2017. To help us finalize space requirements, we’ve got the following A/V requirements form for you to finish, pre-filled with the A/V needs you gave in your proposal:

Please note: we plan to offer in each workshop space a projector, screen, chairs (which may or may not be moveable), wifi, and outlets (though bringing your own power extensions would be massively helpful, as we can’t promise extensions or many outlets). You will need to bring your own presentation computer, as well as your own A/V adapters (though we’re working with the spaces used to narrow down exactly what A/V hookups are used so you know what adapters are needed). It is highly encouraged that you also bring your own dongles and connectors, if you can, to hook up to your equipment.

4. Sharing preconference materials: We’ve created a space on Google Drive for you to deposit your preconference preparatory material and presentation slides that you share with others, so folks who register later or do not receive your email for your workshop can still prepare.

Access to presentation materials: https://drive.google.com/drive/folders/0By08z1AUlQ93X0dKbXQxVlRWUVU?usp=sharing
Your workshop’s folders (which you have read/write access to): https://drive.google.com/drive/folders/0B3lcyfjAf3G3Y0NNYTVlbGFkY1U?usp=sharing & https://drive.google.com/drive/folders/0B3lcyfjAf3G3bXNTc2toLXRRSnM?usp=sharing
Currently only you have read/write access to your workshop’s folder. If you wish to let people have access to the folder, feel free to change permission settings to allow anyone to add and edit materials.

5. Accessibility guidelines: In order to make the conference as open and accessible as possible, we’ve established the following accessibility guidelines that presenters are encouraged to follow. Please review them and make note of the action items for your sessions: https://docs.google.com/document/d/1gzwsghJbw2EiD0sbKP6-0S-RFF6ycgCeFAsBRh37qrI/edit?usp=sharing

Please note that none of the attendees for your preconference session have indicated any accessibility requirements.

6. Logistics Cheatsheet: We’ll be in touch about A/V needs you submitted but we cannot fill in the near future. We will be keeping logistical information like the above and day-of requests on this page going forward: https://docs.google.com/spreadsheets/d/1H26vT_DkJvhnkht-3chGWdg0raRopDdsUNHXvAqP_YI/edit?usp=sharing

7. Preconference Workshop Leaders’ Quick Reference Guide: We've created a leaders’ guide that summarizes this email and will act as a quick reference for you to ensure your preconference runs smoothly. We expect to update this page as new information is decided/emerges, so check back regularly and keep in touch with your preconference contacts.
